Health Professional Educational Specialist
Job Summary The anticipated duration of this temporary assignment is through approximately the end of September. Please note: must be on-site 3 days per week, and will be required to be on-site for the first 2 weeks for training.
Involves designing, conducting, promoting, evaluating and supporting health professions education Manager and Director in programs to be in compliance with organizational objectives and nationally accepted accreditation standards and requirements. Supports learners (including but not limited to faculty, residents, clinical fellows, graduate or undergraduate learners, practicing or licensed professionals) in areas such as curriculum, teaching and learning activities, scheduling, core competencies, assessment and evaluations. Coordinates all activities associated with ongoing administration of health professions education programs under direction of Manager and Director.
Speaker & Moderator Coordination
- Communicate with speakers and moderators, providing relevant guides.
- Collect and manage Conflict of Interest (COI) disclosures and mitigation.
- Gather titles and objectives for sessions.
Monthly Grand Rounds Communications
- Create and distribute flyers and email announcements.
- Manage Outlook invites and update the Resident Google Calendar.
- Maintain department website updates.
Event & Venue Management
- Reserve/cancel event spaces via the Event Management System.
- Provide in-person IT support (A/V setup, microphones, hybrid options).
Continuing Education Management (HighMarks CE)
- Oversee COI and COI mitigation processes.
- Maintain session titles and objectives for CE credits.
- Track attendance and submit annual credit requests.
Visiting Speakers & Named Lecturers
- Coordinate faculty/resident meetings and dinners.
- Arrange travel, lodging, and expense reimbursements.
- Prepare thank-you notes and honorariums.
Medical Student Coordination:
Course Management
- Schedule faculty preceptor presentations and evaluations.
- Organize weekly resident preceptor Zoom lectures.
- Assign course preferences and manage scheduling.
- Send bi-weekly participant emails and follow up on evaluations.
Clinical Sessions & Rotations
- Coordinate subspecialty clinical sessions and notify rotators.
- Manage external medical student rotation applications (seasonal).
Shadowing & Advisory Sessions
- Track shadowing requests and session availability.
- Enforce student participation limits.
- Schedule and facilitate advisory sessions via Zoom and Outlook.
Student Interest Group Support
- Arrange catering for elective sessions.
- Maintain and update the student group listserv.
Department & Student Scheduling:
- Update Grand Rounds and medical student scheduling.
- Monitor event recordings for scheduling alignment.
- Arrange ad-hoc and recurring meetings.
Systems Utilized
- Institutional: Scheduling, event management, financial processing, educational platforms, document storage.
- Other: Video conferencing, project management tools, application systems, website content management

Department Description UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.
Required Qualifications
- Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.
- Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.
- Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner.
- Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
- Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision.
- Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.
- Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.
Preferred Qualifications
- Knowledge of UCSF systems
- Prior experience in Health Education field
