Department Brief Description: WestEd is seeking an experienced coordinator to serve as the Consortium Coordinator for the Ventura County Adult Education Consortium (VCAEC). A strong candidate will be a proactive self-starter with strong coordination, communication, and coordination skills, experience in ensuring compliance with state regulations, and excellent skills in working with diverse stakeholders. Working under the direction of the project lead, the Consortium Coordinator will support the execution of tasks outlined in the annual scope of work. The role requires monthly travel to agency sites throughout Ventura County, as well as attendance at the California Adult Education Program's annual conference and other essential meetings, including public meetings and conferences focused on adult and workforce education. This position will be located on-site at Moorpark Adult School. The Consortium Coordinator will be responsible for the following key areas of work: Meeting and Event Support
- Support planning, scheduling, and logistics for in-person monthly VCAEC Board meetings, working group meetings, or other consortium events.
- Prepare and disseminate meeting materials and minutes.
- Coordinate training and support sessions and workshops for VCAEC members.
- Communication and Coordination
- Serve as the first point of contact for member agencies and the public, providing timely responses to inquiries and support on programmatic and administrative matters.
- Develop and maintain effective communication channels within the consortium and disseminate critical information, resources, and updates to consortium members regarding CAEP deadlines for reports, plans, and deliverables.
- Maintain and update contact lists and other essential documentation.
- Schedule and support planning and check-in meetings with consortium vendors.
- Consortium Finance
- Participate in bi-weekly finance meetings with consortium fiscal manager.
- Track and monitor requests, payments, and reimbursements to vendors and member agencies.
- Support quarterly review and reporting in NOVA system.
- Compliance and Reporting
- Stay current on CAEP guidelines and regulations through participating in CAEP webinars and other state correspondence.
- Support three-year and annual planning processes, including information gathering, needs assessment, and data entry into NOVA system.
- Develop expertise in NOVA reporting system.
