This position will serve as a key resource and interdisciplinary team member for Department of Transfusion Medicine programs. As necessary, acts as primary contact and liaison for leadership for operational issues pertaining to billing, business and financial operations. Leads teams to integrate and coordinate critical business activities with the primary goal of maintaining quality while maximizing profitability. Responsibilities include planning and managing the administrative/business affairs which may include billing, clinical, service and educational activities. Collaborates with appropriate leadership team in the development of a business/strategic plan, collaborates to develop and manage the department's budget, assists in facilitating continuous improvements in operating efficiency, and collaborates with the coordination of the department's staffing activities. Responsible for fostering an environment that is highly responsive to patient and family needs, strong provider relations, and enhances efficiency and effectiveness.I. Major Responsibilities: 1. In collaboration with Department of Transfusion Medicine leadership and AVP of Anatomic and Clinical Pathology, develops plans and programs necessary to achieve the objectives of the Department of Transfusion Medicine and/or the Medical Center. 2. Assists in the evaluation and implementation of various departmental process changes, system changes or initiatives to maximize efficiency and reduce costs. Collaborates with the clinical leadership and staff as well as other key departments. 3. Responsible for the billing operational workflows/issues in EPIC (preauth, denials, etc.) and for the client invoicing process. 4. Ensures that Epic work queues are resolved, and that billing and statistics are appropriate. Researches and develops opportunities for revenue development. Develop strategies for improved operational and financial performance while maintaining or improving quality of patient care or services provided. Supports Transfusion Medicine Managers and Directors in reviewing and approving invoices. 5. Collaborates with managers/leadership to develop capital and operating budgets, trackexpenditures, identify variances, develops corrective action plans and facilitates changes in practice to optimize patient outcomes while controlling costs. Obtains and compiles relevant information regarding justification, prioritization, specifications and cost. 6. Performs financial analysis for all major capital and operational expenditures; in collaboration with appropriate Section supervisors determines awarding of all bids. 7. In collaboration with the Medical Director of the Department of Transfusion Medicine, negotiate contracts with outside organizations and health care facilities. 8. Acts as the primary contact and liaison between Transfusion Medicine, clinical trial sponsors, and research teams for clinical trials and research studies. 9. Support analysis on departmental position requisitions, develops corrective action plans to support justification, assesses position budgeted vs. filled to rates. 10. Acts as primary contact and liaison for leadership for operational issues pertaining to business and financial operations. Serves as project manager as needed. 11. Assures that the Department of Transfusion Medicine is in compliance with various regulatory and accrediting agencies such as Food Drug Administration, Clinical Laboratory Improvement Act of 1988, OSHA Medicare/Medicaid, Joint Commission, American Association of Blood Banks and the College of American Pathologists through periodic documented reviews of laboratory practices and onsite inspections by inspectors for these agencies. 12. Works collaboratively on the development of business plans, including analysis of startup needs, space and facility needs, human resource needs, capital investment needs, and financial projections for existing or proposed programs and services. 13. Monitors and prepares reports for senior management on various financial indicators, including productivity, supply utilization, and volume. Obtains data from the financial systems as needed. Designs, prepares and reviews various scheduled and ad hoc reports for presentation, distribution and/or ongoing financial data evaluation related to Transfusion Medicine. 14. Identifies needs or responds to identified needs for information and develop and/or direct the development of systems and tools to monitor, evaluate and enforce appropriateness and effectiveness of revenue systems. Responsible for promptly responding to administration's request for information. 15. Communicates Department and Hospital policies and needs to managerial, technical and nursing support personnel; provides assistance to Hospital or Laboratory personnel related to Transfusion Medicine policies, utilization and test interpretation. 16. Monitors profit and loss statements to measure operating unit's activities, performance and quality. Implements changes as indicated by activity and performance measures to assure maximum effectiveness, efficiency, and quality of service. 17. Coordinates with Managers and other staff as appropriate, to identify opportunities for standardization with detailed quantification of the volumes used and costs of current and alternate brands. Coordinates trials of new products and equipment as directed. 18. Assists with the resolution of issues/problems/questions related to department operations. 19. In collaboration with Transfusion Medicine managers and directors, develops and maintains established departmental policies, procedures, and objectives. Ensures that Transfusion Medicine complies with hospital established policies, quality assurance programs, safety, and infection control policies and procedures. 20. Approves payroll for assigned areas as needed and assists in the resolution of payroll issues. Brings payroll related concerns with clinical personnel (trends in missed punches, BIT and Regular OT, absences, etc) to the attention of management for resolution. Uses Kronos system to identify opportunities. Standard Staffing Level Responsibilities: 1. Complies with established departmental policies, procedures and objectives. 2. Position Qualifications: License/Certification/Education: Preferred: 2. SBB and ASCP certification. Experience/Skill: 2. Strong demonstrated financial and analytical skills. Preferred: Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements. Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents. III. Physical Demands and Environmental Conditions: Work is considered sedentary. Position requires work indoors in a laboratory and normal office environment.
