The Job

Provides department and program support by implementing administrative, data, accounting systems and
procedures for Independence at Home.

You Will

Prepares and maintains program plans, creates monthly tracking tools, assists with data collection and verification. Monitor progress, track outcomes and ensuring deliverables and deadlines are met.

Create program documents, maintaining organized records and databases, ensuring proper documentation and version control, including contracts, policies and marketing materials.

Making logistical arrangements for meetings, including invitations, event planning, and reminders.

Preparing and processing invoices or estimates. Assisting with accounts payable and accounts receivable, including simple bookkeeping and banking tasks.

Collecting, filing and organizing office documents, such as reports and confidential records.

Support new staff onboarding setup, overviews and meetings; organize team building activities and trainings sessions.

Supporting audits and quality assurance compliance checks. Assist in updating protocols, policies, and workflows to reflect best practices.

Sort and distribute incoming mail and faxes.

Acts as a liaison between team members and other departments.

Identifies workflow inefficiencies, suggests improvements, and assist with resolving issues.

Your Qualifications

High School Diploma or equivalent experience. Some college preferred.

At least 3 years of experience in project coordination.

Technical expertise - Basic analytical skills

Problem Solving - Basic problem-solving skills

Communication - Good communication and interpersonal skills

Strong communication and customer service skills

Strong organization skill

Strong attention to detail

  • Work Mode - Mostly Onsite (in office in Long Beach, CA each Tuesday & Wednesday)
