Job Description

The Event Housing Coordinator plays a critical role in supporting the Informa Housing Team, contributing to both the Contracting & Sourcing and Housing Management functions. In this role, you will coordinate and administer hotel room block planning and execution across a portfolio of events. Manage RFP documentation, assist with contract preparation, maintain accurate data records, and support the implementation of attendee accommodation programs that align with Informa's standards for profitability, efficiency, and attendee satisfaction.

This role is based in our Irving, TX Office.

Key Responsibilities

Contracting & Sourcing Support (50%)

  • Contract Template Administration:

    Assist in drafting, reviewing, and maintaining hotel contract templates to ensure compliance with event and organizational requirements.
  • Hotel Loyalty Data Entry:

    Accurately enter and update hotel points and loyalty data within the QuickBase platform.
  • Hotel Partner Communications:

    Organize and maintain updates to hotel partners and internal stakeholders, including Global Sales contacts.

Housing Management & Operations (50%)

  • Marketing & Incentive Programs:
    • Support the marketing and promotion of group incentive programs for event attendees.
    • Promote hotel offerings through event websites and other communication channels.
    • Monitor and track hotel incentive usage to maximize attendee value.
  • Reporting & Data Collection:

    Build templates, compile data, and generate reports related to sustainability and housing performance.
  • Travel Discounts Management:

    Coordinate and promote airline discount programs for Informa's North American events.
  • Special Projects & Initiatives:

    Lead or support cross-functional projects to enhance the efficiency and success of housing programs.
  • General Administrative Support:

    Provide additional administrative assistance as needed to support departmental operations.
Qualifications
  • Strong organizational skills and ability to manage multiple tasks in a fast-paced environment
  • Educational background in hospitality or relevant experience in hotel sales, convention services, or group reservations preferred
  • Strategic thinker with a proactive, resourceful approach to problem-solving
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite; willingness to learn additional platforms such as QuickBase and Monday.com
  • Familiarity with hotel industry practices and market trends
  • Ability to collaborate effectively with internal teams and external partners
  • Positive, team-oriented mindset with a commitment to delivering high-quality service
