Position Summary: Under the supervision of Project managers, Assistant Project Managers (APM) are responsible for managing and coordinating custom commercial architectural millwork projects from post-contract administration through installation and warranty period with the company's best interest in mind, including all aspects of finance, quality, and efficiency. Also assists other Project Managers at their discretion with consideration of workload.
Essential Functions and Responsibilities:
- Communicate with customer at all phases of project and communicate schedule durations - utilize job status report monthly
- Attend meetings as necessary to clarify scope or means of fabrication
- Able to write RFI's to clarify scope and obtain necessary information to keep project on schedule
- Assess risk against engineering, production and installation durations against GC's schedule
- Redline the GC's construction schedule and communicate what we can do - document those conversations and have paper trail
- Customer service oriented - PMs to have constant interaction with customers (internal and external) to meet customer needs and achieve a profitable project.
- Communicate with all internal departments to oversee the following:
- Drawings and submittal package are accurate and in accordance with (1) contract drawings and specs (2) CONCEPTS IN MILLWORK's standard construction methods (3) AWI requirements. Communicate deviations between Architect and our submittals with engineering at handoff. Explain your plan of action.
- Quality and scheduling expectations are met and or exceeded in the shop
- Deliveries are coordinated and scheduled in a timely and efficient manner - site access, elevator use, staging area, etc.
- Quality and scheduling expectations are met and or exceeded in the field
- Set up job trackers and keep up to date - Project review on a weekly basis
- Contract review - read and understand the scope, terms and conditions of what we are signed up for. Understand requirements - Bonded, LEEDS, AWI, FSC, badging, etc.
- Understand scope of project inside and out and lead times of material
- Create internal schedule for CONCEPTS IN MILLWORK - milestone schedule to meet GC schedule
- Keep CONCEPTS IN MILLWORK on track for all stages of project
- Manage subcontractors / buyouts throughout project - make sure subcontractors are in compliance with insurance and workman's comp
- Set up and maintain a project budget and SOV pertinent to the individual project and overall billing projections for the company
- Monitor costs to ensure job is within estimate scope budgets
- Set up and run handoffs for engineering, production and installation
- Field dimension projects
- Oversee or create ARF's, ERF's DRF's and schedule installation for projects
- Create 1A's for releases - ensure all scope is fabricated per contract documents
- Prepare for WIP and attend meetings - be able to answer questions about project status and estimated costs to complete with upper management and ownership
- Fill out monthly billings in Sage for completed scope - send to billing specialist
- Seek approval to bill retainage from GC after final billing is sent
- Get involved with collections when needed
Qualifications Desired:
- Have a minimum of 1 year of project management coordination experience in an architectural millwork environment to include: field measurements, reviewing shop drawings and other project management skills from handoff to project completion.
- Able to read and understand architectural drawings and specifications; must be able to identify errors and/or omissions on the drawings and request immediate clarification.
- Proficiency in Microsoft Office (especially Excel).
