Posting Summary |
Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for the Graduate School New Brunswick. Reporting to Senior Associate Dean Hae Chang Gea, the Program Coordinator will provide comprehensive administrative and programmatic support for the Academic Affairs division of the School of Graduate Studies.
Among the key duties of this position are the following:
- Assists with implementing and tracking Faculty Database, student Individual Development Plans, managing requests for exceptions to the seven-year rule, and supporting the Academic Appeals Committee.
- Contributes to institutional assessment efforts and new SGS initiatives focused on enhancing graduate education and student success.
- Coordinates internal fellowships and awards such as the Dean's Fellowships and SUPER-Grad Awards, in collaboration with graduate program directors.
- Supports application processes, maintain organized records, assist in developing procedures, and help facilitate meetings with schools and programs.
- Responsible for managing and tracking confidential faculty affairs correspondence.
- Assists the SGS Business Manager with report compilation.
- Serves as backup to two existing Program Coordinators to assist with transactions including preparation of requisitions, expense reports, journal entries, entering hourly payroll, initiator of Recruitment, Onboard & Classification System and record keeper for paid time off for staff in the Absence Reporting System.

Qualifications
Minimum Education and Experience |
- Bachelor's degree or an equivalent combination of education and/or experience.
- Two years of relevant experience.

Required Knowledge, Skills, and Abilities |
- Computer literacy and expertise in Microsoft Excel, PowerPoint, Word and Outlook and willingness to learn new platforms (Submittable and FileMaker).
- This role requires strong organizational and computer skills, the ability to multitask, plan and lead small projects, and maintain accurate records.
- Excellent communication, sound judgment, and the ability to escalate issues appropriately are essential.
