Position Summary:

We are seeking a detail-oriented and proactive Accounts Payable (AP) Specialist to join our North America AP team. This role is key to ensuring the accurate and timely processing of vendor invoices and payments while maintaining strong internal controls and compliance with company policies.

Reporting to the North America AP Supervisor, the ideal candidate will bring strong analytical skills, sound decision-making skills, and a collaborative mindset. You will play a critical role in maintaining vendor relationships, identifying and resolving discrepancies, and helping to streamline our AP processes.

Key Responsibilities:

  • Tasks include 3-way matching, and ability to accurately post non-purchase order (non-PO) invoices, ensuring accuracy and compliance with internal accounting procedures with a target goal of processing an average of 45 invoices per day.
  • Respond to vendor inquiries and emails within 48 hours, maintaining an organized inbox and moving completed emails to designated inboxes.
  • Identify, investigate, and resolve discrepancies between purchase orders and invoices.
  • Accurately report accruals within tight deadlines; demonstrate the ability to determine when an invoice requires accrual and complete the corresponding Excel report for timely submission.
  • Understand and process prepaids and down payments appropriately.
  • Process weekly vendor payments, including printing and mailing of checks.
  • Assist with new vendor setup in compliance with company policies.
  • Help resolve outstanding checks and follow up with vendors or business partners.
  • Perform remote deposit processing and ensure accurate coding.
  • Collaborate cross-functionally with internal teams and escalate issues as needed.
  • Adhere strictly to documented desk procedures, ensuring all instructions are followed without omission.

Required Skills & Qualifications:

  • Minimum 2 years of SAP experience in an AP environment.
  • Intermediate Excel skills, including proficiency with VLOOKUPs, SUM functions, and maintaining consistent formatting.
  • Strong attention to detail, organizational skills, and ability to prioritize tasks.
  • Positive attitude, strong work ethic, and a commitment to producing quality work.
  • Ability to work independently and meet tight deadlines.
  • Excellent written and verbal communication skills, including active listening and follow-through.
  • Ability to schedule and lead meetings to resolve open issues with internal partners or vendors.
