Job Overview

The Manager, Colleague Advisory Operations performs a broad range of functions that support administration, queue management, internal reporting, analytics, and system support for Colleague Advisory, with a primary focus on the Background Check and Drug Screening programs. The Manager leads a team, drives strategic initiatives, and ensures compliance with company policies and applicable legal requirements.

This position may be based at any Macy's, Inc. facility that meets the necessary technology requirements.

What You Will Do



  • Lead, mentor, and develop a team of Coordinators, ensuring adherence to all background check and drug screening policies, procedures, and legal requirements.
  • Identify inefficiencies in internal processes and make strategic recommendations for improvement. Implement enhancements to programs, products, and workflows to increase efficiency and productivity.
  • Serve as a liaison between Colleague Advisory and key partners, including HR Technology, Continuous Improvement, and external vendors, to identify and implement system enhancements.
  • Conduct regular audits of Salesforce cases to ensure all required fields are completed, cases are accurately dispositioned, and documentation meets quality standards. Escalate issues to responsible parties as needed.
  • Deliver education and training on relevant systems and applications, including Salesforce/AskHR, Genesys, Imaging (IDS), Oracle, and HireRight/eScreen. Share best practices and communicate system enhancements to optimize team performance.
  • Oversee strategic queue management for the Colleague Advisory team by preparing and linking related cases to streamline workflow for Specialists and Coordinators.
  • Develop and maintain queries, reports, and data extracts to support investigations, HR Business Partner requests, legal inquiries, and monitoring of team compliance and productivity.
  • Audit vendor billing invoices for accuracy, resolve discrepancies, and identify cost-saving opportunities to improve financial efficiency.
  • Manage reporting related to background check cases and influence decisions by providing clear, consistent data and insights to stakeholders at all levels.
  • Act as a primary point of contact with HireRight, eScreen, and other external partners, ensuring productive collaboration and effective day-to-day operations.
  • Cross-train in other areas within Colleague Advisory and support casework and investigations as needed.
  • Lead and support special projects within Colleague Advisory as assigned.
  • Maintain regular, dependable attendance and punctuality.
  • Foster an environment of acceptance and respect that strengthens relationships, and ensures authentic connections with colleagues, customers, and communities.

Skills You Will Need

Operational Excellence: Proven ability to identify inefficiencies, recommend strategic improvements, and implement process enhancements that increase efficiency, productivity, and compliance.

Background Check and Drug Screening Expertise: In-depth understanding of background check and drug screening procedures, policies, and legal requirements, with the ability to ensure compliance and manage escalations.

Leadership and Team Development: Demonstrated experience leading, mentoring, and developing team members, fostering a high-performing, knowledgeable, and compliant team culture.

System and Technology Proficiency: Strong working knowledge of HR systems including Salesforce/AskHR, Genesys, Imaging (IDS), Oracle, and HireRight/eScreen, with the ability to train others, identify system enhancements, and act as a liaison between functional and technical teams.

Analytical and Data-Driven Decision Making: Advanced skills in query writing, reporting, and data analysis using tools like Excel and Access to inform decisions, influence stakeholders, and ensure accurate case management and billing.

Communication and Collaboration: Excellent written and verbal communication skills, with the ability to present clear insights to stakeholders at all levels and maintain productive relationships with internal partners and external vendors.

Compliance and Risk Management: Skilled at conducting audits, interpreting legal and policy documents, and ensuring organizational adherence to compliance standards, particularly in areas involving sensitive or confidential information.

Project and Vendor Management: Experience leading cross-functional projects and managing vendor relationships, including auditing invoices, resolving discrepancies, and identifying cost-saving opportunities.

Adaptability and Independence: Able to manage multiple priorities, take initiative, and work independently in a fast-paced, evolving environment with minimal supervision.

Who You Are



  • Candidates with a bachelor's degree or equivalent work experience in a related field are encouraged to apply. Prior experience in Human Resources, Administration, and/or Reporting & Analytics preferred.
  • Regularly required to sit, talk, hear; use hands/fingers to touch, handle, and feel. Occasionally required to move about the workplace and reach with hands and arms. Requires close vision.
  • Able to work a flexible schedule based on department and company needs.
