Organizational Unit Overview |
The Office of the Graduate School oversees the academic operation of 71 post-baccalaureate certificate programs, 71 master's degree programs, and 16 doctoral degree programs at East Carolina University. This oversight includes: graduate program marketing and recruiting; the processing of over 8,000 applications per year; graduate student admissions; graduate curriculum development and implementation; graduate program review by external review teams; the determination and interpretation of academic policy pertaining to graduate students and programs; and the graduation of over 900 graduate students annually. In addition, the Graduate School administers the annual distribution of over $7.5 million in graduate assistantships and $3.3 million in out-of-state and in-state tuition remissions. |
Job Duties |
Reporting to the Associate Dean of the Graduate School, the Assistant Director for Graduate Retention and Success leads and manages the delivery of an exceptional and transformative graduate student experience and supports retention and degree attainment across all graduate programs at East Carolina University other than the medical and dental programs. The Assistant Director is responsible for ensuring that the Graduate School meets or exceeds the university's strategic goals regarding graduate student persistence and degree completion in collaboration with graduate program directors and associate deans, Student Affairs personnel, and the office of Institutional Planning, Assessment, and Research. The Assistant Director will monitor student progress, facilitate workshops, and foster a supportive learning environment. The Assistant Director will also develop data and records to inform decision-making related to graduate student success, support departments in providing and monitoring disbursement of graduate student funding, and track graduation rates and post-graduation placement/employment.
The duties of this position are divided into broad categories: Advising; Programming; Data Collection, Record Keeping, and Analysis; and Other Duties.
Advising - 35%:
- Collaborate with graduate program directors and coordinators to ensure that all graduate students have an assigned academic advisor.
- Advise and support enrolled graduate students seeking exceptions to graduate school policies.
- Mediate graduate student complaints and support students appealing graduate school decisions.
- Develop and implement calendar of periodic communications to graduate students and faculty (thesis requirements, deadlines, graduate deadlines, etc.).
- Execute enrollment and re-enrollment campaigns to improve graduate student retention and degree progress.
Programming - 30%:
- Plan and execute new graduate student orientation.
- Plan and execute graduate student success and professional development programs and workshops.
- Collaborate with other units such as the Faculty Center for Excellence, Career Services, and academic Colleges to plan and promote programs and events relevant to graduate students.
- Plan and execute graduate student research showcase events such as the annual Three Minute Thesis (3MT) competition and Research and Creative Achievement Week.
Data Collection, Record-Keeping, and Analysis - 25%:
- Develop robust data and records to inform decision-making related to graduate student success.
- Track graduate student academic standing, engagement experiential learning, persistence rates, graduation rates, and post-graduation placement/employment.
Other Duties - 10%:
- Support the Associate Dean to convene regular meetings with graduate program directors and coordinators.
- Create content for Graduate School's newsletters and social media accounts.
- Perform other duties as assigned.

Minimum Education/Experience |
Master's degree from an accredited institution; will accept in substitution a bachelor's degree and two years of professional experience in academic advising or administrative leadership in higher education. |

Preferred Experience, Skills, Training/Education |
- Master's degree in Student Affairs, Higher Education, Counseling, or related field.
- Three (3) or more years of academic advising experience or administrative leadership at the graduate level and two (2) years or more of project and program management experience serving adult learners.
- Proficiency with key technologies, including learning management systems (LMS), customer relationship management systems (CRM), and social media platforms.
- Demonstrated proficiency in data and productivity tools, including Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint), databases, report generators, word processing, spreadsheets, survey, and presentation software.
- Strong communication skills, with demonstrated ability in written, verbal, and professional presentation to various internal and external audiences.
- Proven ability to represent an organization with professionalism and sound judgment in a variety of stakeholder settings.
- Track record of successfully managing multiple concurrent projects with competing deadlines, maintaining a high level of detail and quality.
- Ability to work independently and collaboratively in a team environment, with a track record of initiating solutions and contributing to positive workplace outcomes.
