Job Description Summary

This position will be located at the Durham site and will not have the ability to be located remotely. Please note that this role would not provide relocation and only local candidates will be considered.
In this dynamic Project Coordinator position for Technical Research & Development (TRD) Cell & Gene Therapy (CGT) you will provide support for key leadership, handle administrative details of various projects in addition to delivering a full range of services to multiple units within the TRD organization.

Job Description

Key Responsibilities:

  • Operational Support and Reporting: Handle complex administrative tasks such as database management, overseeing crucial processes, preparing presentations, and evaluating statistics. This includes supporting the leadership team as required and producing functional administrative reports such as department-specific initiatives like media, communications, newsletters, and SharePoint activities. Also, manage schedules, plan events, and coordinate functional information updates and initiatives.
  • Professional Interaction: Provide information, advice, and assistance to the team and external associates on specific department services, processes, and guidelines while acting as professional partners.
  • Process and Project Management: Initiate new or modified work processes and coordinate their introduction. Work as a project coordinator or manager for administrative projects, including design, planning, implementation, and communication.
  • Supervisory Tasks: Assume a limited role in project coordination or management and mentor temporary staff and apprentices.
  • Recruitment and Onboarding: Assist with hiring and onboarding activities.
  • Meeting and Event Coordination: Schedule departmental meetings, support functional events, act as a point of contact for administrative activities across functions.

Essential Requirements:

  • A minimum of an Associates degree. Bachelor's degree is preferred.
  • 3 years of experience in administrative work, with preference for experience in a pharmaceutical company
  • We require someone who is Digitally & Technologically savvy, specifically skilled with digital tools and experience of ERP systems.

Desirable Requirements:

  • 1+ years of project coordination or management experience preferred
  • Concur experience highly desirable
  • Artificial Intelligence curiosity
  • Excellent communication skills, particularly an ability to write and to proofread email messages and other documents.
  • Proven ability to maintain confidentiality and discretion with internal and external stakeholders
  • Proficiency with Word, Outlook, Excel, PowerPoint, and SharePoint, and a general affinity for information technology and for learning new software. MS Teams experience a plus.
  • Strong organizational and time-management skills, with attention to detail

Novartis Compensation and Benefit Summary: The pay range for this position at commencement of employment is expected to be between: $29.14 and $54.00/hour; however, while salary ranges are effective from 1/1/25 through 12/31/25, fluctuations in the job market may necessitate adjustments to pay ranges during this period. Further, final pay determinations will depend on various factors, including, but not limited to geographical location, experience level, knowledge, skills, and abilities. The total compensation package for this position may also include other elements, including a sign-on bonus, restricted stock units, and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an "at-will position" and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.

Salary Range

$60,600.00 - $112,600.00
