Job Description:

The Senior Tax Administrator is responsible for providing critical administrative and operational support to the firm's Private Client Tax Services Group. This position is responsible for managing the complete lifecycle of fiduciary and individual tax return processing, including intake, tracking, assembly, and filing of returns. The role also involves managing key internal controls and workflows for over 1,500 client accounts, including trusts, estates, private foundations, and high-net-worth individuals.

This individual works closely with attorneys, fiduciaries, and clients to ensure accurate, timely, and compliant tax filings. The role is ideal for a highly organized professional with experience in a high-volume, deadline-driven environment.

Responsibilities:

  • Oversee intake of new tax assignments, including client setup and integration into internal tracking systems to ensure timely filing and payment.
  • Manage proper closing of accounts, including coordination of final tax charges, updating internal controls, and ensuring final tax filings.
  • Maintain and update internal filing and tracking systems for active tax assignments throughout the year.
  • Coordinate full processing of tax returns, including document assembly, filing (electronic and paper), and confirmation of submission.
  • Serve as a liaison to internal and external stakeholders, responding to requests for return status, document access, and workflow updates.
  • Track milestones and maintain workflow status reporting during peak tax season.
  • Oversee maintenance and accuracy of over 1,500 client tax files and associated records.
  • Oversee the annual billing process, including requesting and reviewing pre-bills, coordinating final billing, and managing invoice distribution and payment processing.
  • Participate in internal trainings to enhance technological proficiency and workflow efficiency.
  • Perform other duties and projects as assigned.

Job Requirements:
  • Minimum of 5 years of experience in a fiduciary tax or wealth management environment supporting high-net-worth clients.
  • Familiarity with federal and state tax compliance requirements and tax return documentation, particularly for trusts and estates.
  • Proficiency with the following systems (or equivalent):
    • OneSource TrustTax (Thomson Reuters)
    • CCH Axcess Tax
    • Fi-Tek Trust Accounting
    • Microsoft Office Suite (Excel, Outlook, Word)
  • Associate's degree required; Bachelor's degree preferred, ideally with coursework in accounting or finance.
  • Strong interpersonal and written communication skills, with a high level of professionalism.
  • Excellent organizational and time management abilities.
  • Proven ability to manage multiple high-volume tasks and meet strict deadlines.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to work independently and collaboratively in a team-based environment.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows: Boston, MA: $77,500 to $114,950

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
