Wieland is hiring a Export Logistics Administrator. The Export Logistics Administrator will be responsible for facilitating and monitoring the export supply chain operations of the Granite City site. This role is essential in ensuring efficient documentation, timely shipping logistics, accurate recordkeeping, and providing customer service. This is a full-time position primarily responsible for the coordination of carriers and processes to effectively export freight worldwide. This role is located in Granite City, IL and will be fully on-site.

Base Salary Range: $43,089 - $64,634

May be eligible for a variable compensation plan bonus based upon company performance within fiscal year cycle.

Responsibilities

Export Logistics Administrator Responsibilities:

    Coordinate all aspects of shipping including scheduling carriers, preparing Bill of Lading (BOL), and ensuring timely pickups and deliveries.
  • Coordinate and monitor all export supply chain operations. Request bookings based on sales and operational needs. Enter the bookings into internal system and add the bookings to the dispatch for coordination with transportation team.
  • Tracking and reporting daily ocean freight shipments.
  • Preparing and distributing shipping documents to customs broker, etc.
  • Coordinating with forwarders, internal transportation department and third-party logistics for timely delivery.
  • Disputing charges with steamship lines and/or forwarders.
  • Reviewing and approving carrier invoices.
  • Accurate data entry to maintain logistics records and reports. Including downloading of pictures for bookings.
  • Navigating search engines for accurate up-to-date details for inbound container tracking.
  • Interface with customers by creating and managing bookings and responding to customer inquiries.
  • Maintain complete shipping records, including any HAZMAT or other related documents.
  • Receive and verify incoming invoices and packing slips.
  • Track and maintain logs and other record-keeping for all current and new bookings. Ensure priority sheet is checked a minimum of two times daily.
  • Work with dispatch team concerning all bookings.
  • Prepare all export documents including certificates of insurance, certificate of origins, Annex VII documentation, pre-shipment inspection certificates, and shipping instructions for ocean carriers, including Verified Gross mass.
  • Close shipment files including preparation of Automated Export System submissions.
  • Coordinate with Commercial Department to generate freight rates for new sales and trade lanes.
  • Work with Accounts Payable Department concerning invoicing for freight, drayage, and other issues and resolutions of per diem disputes.
  • Assists customer service representatives with order status inquires and special customer needs.
  • Resolves delivery problems.
  • Plans and oversees the flow of goods for international and domestic traffic.
  • Calculates duties, tariffs, price conversions, weight, and volume of merchandise exported and imported.
  • Oversees preparation of documents such as letters of credit, filing tariffs, bills of lading, license agreements, and other correspondence; coordinates other paperwork and documentation necessary to comply with tariffs and customs regulations.
  • Serves as a liaison between agents, brokers, banks, shippers, and warehouse facilities.
  • Expedites shipping of goods into and out of the country.
  • Resolves customs delays.
  • Work in a timely, safe, and responsible manner to meet customer or company requirements.

Export Logistics Administrator Qualifications:

  • Two to five years of experience in a shipping warehouse required. Recent logistics experience required; experience with ocean freight preferred.
  • High school diploma or equivalent required.
  • Good communication skills; conveys information clearly and concisely, both verbally and in writing; adjusts communication to meet the needs of the audience.
  • Knowledge of shipping and export regulations and procedures.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with computerized distribution systems.
  • Adapts to change quickly and easily and performs effectively during times of change; demonstrates the ability to multi-task and manages competing priorities effectively.
  • Ability to learn quickly in a fast-paced environment.
  • Ability to analyze, investigate, and problem solve.
  • Self-motivated with ability to work well independently.
  • Be a safety champion by promoting a safe and productive workplace through your own actions, including the proper use of PPE, safe operation of powered equipment and safe lifting techniques as determined by the role.
  • While performing the duties of this job, the employee will be required to move frequently, stand, walk, and sit. The employee must be able to regularly lift and/or move up to 20lbs.
