Serves as confidential administrative assistant to the Director of the Operating Department of United Hospital Center and provides secretarial services to other members of the Operating Department, Recovery Room, PAT, Anesthesia and Outpatient Surgery Departments upon request. Responsible for coordination of administrative support with the Operating Department.

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. High School Diploma or Equivalent AND Four years of high level Administrative Experience OR Associate's Degree

AND Two years of high level Executive Office Experience OR Bachelor's Degree.

PREFERRED QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Graduate of Administrative Secretarial School.

EXPERIENCE:

1. Experience with surgical scheduling systems

1. Responsible to run daily, weekly, monthly, and quarterly reports to support process improvements within the surgical services areas.

2. Provides requested reports utilizing ORSOS, MSM to physicians, Administration, quality management, Infection Control, Emergency Department, OR committee, medical staff services.

3. Serves as liaison to administrative Director of Surgical Services to develop improvement plans and assist in implementation process.

4. Serves in supportive role to staff of OR, OPS, PAT, Anesthesia and Recovery

5. Coordinates, monitors vendor availability for OR cases on a daily basis

6. Liaison to physician offices to promote efficient scheduling process

7. Assists with inventory control per hospital policy

8. Responsible for specialty supply orders for Operating Department

9. Assists with collection of data for quality improvement

10. Coordinates with sales representative regarding product in-services, special needs for procedures and coordinating appointments with required OR staff.

11. Monitors reptrax to ensure vendor compliance

12. Assists with data entry for tissue Manager System

13. Assists with preference cards related to requested changes and Lawson updates

1. Demonstrated skills proficiency in:

  • a. Keyboarding/word processing.
  • b. Filing techniques.
  • c. Appointment scheduling.
  • d. Telephone communication.
  • e. Knowledge of Orsos Reporting/ PHS Scheduling/ MSM/ HBI.
  • f. HSM administrative support inclusive of tissue management.

2. Demonstrates positive customer service skills in a healthcare setting.

3. Knowledge of MSM/PHS/ORSOS and EPIC scheduling systems
