Buckeye Partners is currently seeking an Office Facilities Lead with office support experience to join our growing team in Allentown, PA!

Role Summary:

The Office Facilities Lead is responsible for overseeing the day-to-day operations and maintenance of Buckeye's offices in Allentown, PA and Macungie, PA, ensuring a safe, functional, and comfortable working environment for all employees by supervising facility services like cleaning, repairs, maintenance, space utilization, and coordinating with vendors to address any issues that arise, while also developing and implementing strategies to optimize facility efficiency and cost-effectiveness.

Essential Duties & Responsibilities include:

General

Provide superior customer service interaction with internal and external individuals in meeting office facility needs, equipment and supply needs, handling and effectively resolving office facility Help Tickets, and supporting various office facility maintenance tasks and activities.



  • Oversee the mailroom sorting, distributing and management all incoming and outgoing mail.
  • This includes acting as administrator of company-wide shipping program as well as evaluating costs and making recommendations to improve service and reduce costs.
  • Responsible for the maintenance of office supply stock and ordering materials as needed.
  • Provide a safe and comfortable work environment where all office employees have all the tools, they need to successfully perform their job.
  • Supervise and mentor the Facilities Associate and other facilities contractors, including cleaning crew, service providers, and maintenance technicians. Assign tasks, delegate responsibilities, manage schedules, and monitor performance.
  • Implement and maintain security measures including access control, surveillance systems, and emergency procedures. Work closely with our Security team to address and support any impacts to our Allentown and Macungie facility.
  • Maintain archived files for organization. Includes retrieving and returning files, as necessary.
  • Coordinate storage of daily, weekly, and monthly backup tapes between data centers.


Maintenance and Repairs

Manage and prioritize routine maintenance tasks like HVAC systems, electrical systems, plumbing, lighting, and building exterior upkeep. Oversee cleaning schedules and quality control for office spaces, common areas, and restrooms.



  • Repair minor electrical, plumbing, and other maintenance issues, as necessary.
  • Coordinate with vendors and contractors for repairs, replacements, and installations. Provide resolution of issues relating to all building maintenance, equipment problems, etc.
  • Ensure Contractor services performed at Buckeye facilities are scheduled and coordinated in a safe and secure manner among Buckeye Office Services, the affected Buckeye Department, and the contractor service provider.
  • Initiate and oversee facility improvement projects, including renovations, upgrades, and technology installations. Bid out, help oversee, and work closely with Project Managers for any capital improvements to Macungie/Allentown
  • Manage maintenance schedule for office vehicle.


Space Planning and Coordination



    Develop and implement office space utilization plans to optimize occupancy and accommodate changing needs.



    • Coordinate and facilitate all space requests in Allentown and Macungie, as well as keep an updated floor plan that reflects any changes.


    Emergency Response

    Provide on-call assistance/response during non-work hours for any building maintenance



    • This position requires 8-hour shifts during normal business hours. This position requires
    • flexibility to accommodate unscheduled changes in work routine and assigned shifts. Availability to work overtime, weekends, and holidays will be required in the event of an emergency call out with the Allentown and Macungie facilities.
    • Partner with outside service vendors to ensure quick response times to emergencies.
    • Work closely with the emergency response team to coordinate fire drills and keep the emergency response plan up to date.


    Budgeting and Cost Control

    Periodically review and negotiate contracts with service providers to ensure competitive pricing for our office facilities. Manage contracts for third party service vendors.



    • Develop and monitor the facilities budget in Allentown and Macungie, tracking expenses and identifying cost-saving opportunities and reviewing with Manager, Capital Projects Sourcing monthly.
    • Process and approve facilities invoices as required to allow for approval and payment for materials and services for facilities.
    • And other duties as assigned.



    Position Requirements:



    • High school diploma or equivalent, Associates and/or Bachelor's degree preferred.
    • 5+ years related experience.
    • Proficiency using Microsoft Office required and basic knowledge of Outlook.
    • Experience facility operations and maintenance in a corporate office setting
    • Strong understanding of building systems, maintenance procedures, and safety regulations
    • Excellent communication and interpersonal skills to collaborate with stakeholders and vendors
    • Ability to manage multiple priorities, meet deadlines, and work independently



    Certificates & Licenses:



    • Valid driver's license required.



    Other Skills, Attributes and Abilities:



    • This position requires someone who can work well under pressure and can handle multiple tasks at once. Should be flexible and willing to adapt and resolve any problem that may arise.
    • Since this position requires contact and communication with personnel on all levels, excellent interpersonal and customer service skills are required.
    • Must be able and willing to spend a large degree of ones time on his/her feet and be able to lift large, heavy packages.
    • This role requires the ability to drive between Company locations in a Company vehicle during shift hours.



    Essential Functions:
