Job Overview
The Payroll Clerk is accountable for collecting timekeeping information, incorporating a variety of deductions into a periodic payroll, and issuing pay and pay related through the computerized payroll system. The Payroll Clerk will process manual and electronic timesheets for Union, Hourly, and Exempt company employees. In this position you will demonstrate excellent customer service to help employees with their timecards and payroll questions. This role is Part-Time (24 to 32 hours per week) on Maxwell Air Force Base in Montgomery, Alabama. Work Model: Onsite/In-Office
Responsibilities
Essential Duties & Job Functions:
- Actively work with intra and inter departmental team members to develop and streamline processes for greater efficiency and effectiveness.
- Proactively seek out the knowledge and be familiar with all the diverse payroll and timekeeping aspects of the contract, i.e. union, DBA, SCA, exempt, etc.
- Process payroll by collecting, calculating, and entering data such as employee hours worked, pay rate changes, and payroll deductions.
- Update payroll records by entering changes in exemptions, insurance coverage, demographics, deductions, and job title and department transfers.
- Ensure that disbursements of company funds are for valid services performed as evidenced by 100% review and approval of properly completed time sheets by supervisors.
- Ensure payroll calculations are correct and in accordance with company policy, contractual obligation, and Federal/State guidelines.
- Ensure that payroll deductions and benefits records are adequately identifiable in the general ledger and that the payments to third parties are processed in an accurate and timely manner. Payroll deductions include: bi-weekly tax payments, child support, 401(k) contributions, health and life reconciliation, short/long-term disability, worker's compensation and leave.
- Process and post weekly/biweekly employee paychecks and statements of earnings and deductions by established deadlines.
- Maintain employee files accurately, timely and completely.
- Maintain vacation and personal leave database inquiry and reporting system; run and distribute periodic reports for managers and supervisors.
- Resolve payroll discrepancies by collecting and analyzing information.
- Address Employee's pay-related concerns and provide accurate payroll information.
- Complete requests for pay-related documents including statements and verifications.
- Maintain payroll operations by following policies and procedures; reporting needed changes.
- Maintain employee confidence and protect payroll operations by keeping information confidential.
- Actively participate in process improvement efforts within department.
- Review vacation and personal leave accruals on a monthly basis.
- Maintain and administrate employee timesheet corrections.
- Perform other duties as assigned.
Job Requirements
Mandatory:
- High school graduate, or equivalent.
- Three (3) years of experience of high-volume payroll process experience, preferably in a project environment.
- Three (3) years of experience using standardized payroll software for data entry, processing and inquiry.
- Able to operate all office equipment: telephones, copy machines, printers and computers.
- Possess a good working knowledge in Microsoft Office Suite programs: Word, PowerPoint, Excel, Outlook.
- Excellent verbal and written communication skills.
- Excellent organizational skills.
- Ability to deal with a variety of people in a professional, courteous manner in diversified situations.
- Mature judgment and ability to work with minimal supervision.
- Ability & willingness to work reasonable overtime, as needed.
- Ability to acquire and maintain government identification/common access card.
- U.S. Citizen.
