Your Role on the Team

This recruitment is for Temporary Administrative Assistant III positions through UCI's internal temporary staffing department. This position can be based out of the UC Irvine campus and/or the UC Irvine Medical Center.

The Temporary Housing Operations Assistant must consistently exercise a high degree of initiative, confidentiality, independence, good judgment, flexibility in performing a wide variety of duties, and the ability to adjust to changing priorities while working well under pressure. Performance at this level requires independent critical thinking and problem solving, strong verbal and written communication skills, creativity, knowledge of office environment and technology, and a commitment to seeing tasks and projects through to completion.

This role consists of 2 projects:

Project 1: Move-out for Undergraduate Student Housing occurs in mid-June. This assignment involves the coordination of moving out 6700 undergraduate residents from UCI. Assist with the logistics of Undergraduate Student Housing Move-out including preparation of supplies and coordinating the schedule for student staff and professional staff.

Project 2: Move-in for Undergraduate Student Housing occurs in mid to late September. It is the coordination of moving in 6700 undergraduate residents into UCI. Assist with logistics of Undergraduate Student Housing assignments prior to moving-in. Making necessary changes and adjustments to the Undergraduate Student Housing resident assignments and the preparation of keys.

Pay Rate: $28.49/hour

Responsibilites include but are not limited too:

  • Covering the front desk as needed.
  • Ability to interact positively and communicate effectively with a diverse group of students, faculty, staff, and visitors to campus.
  • Skills to compose memos, letters, reports, and presentations using standard business formats.
  • Experience managing multiple projects at one time.
  • Demonstrate experience maintaining office procedures.
  • Ability to maintain confidentiality of records and information.
  • Personal skills to maintain diplomacy, confidentiality, and professional conduct.
  • Skill in working as part of a team and collaborating closely with co-workers on a variety of interdependent functions.
  • Proficiency in analysis tools, models, and methods.
  • Ability to learn new software programs.
  • Skills to maintain organized electronic and hard copy files.
  • Knowledge of PC hardware and computer peripherals.
  • Skill to troubleshoot system problems.
  • Demonstrated ability to independently complete detailed tasks and manage projects.
  • Moderate to high contact with Students and Student Staff.
  • UCLC Trainings - the standard, Sexual Harassment and Data Security trainings, and FERPA.
  • Experience using Microsoft excel, word, and SharePoint required.
  • Experience with TRS when it comes to timesheets is preferred but not required.
  • No required uniform, our department can provide additional staff shirts during the required Move-out and Move-out days.

Required:

  • Bachelor's degree and 2-4 years' experience or equivalent combination of education and working experience in a similar environment.
  • 1-3 years Broad knowledge of office environment and administrative support needs with the ability to provide executive level support in a fast-paced environment.
