We are seeking a dynamic and highly organized Administrative Assistant to join our Preconstruction team in a fast-paced, collaborative, and high-energy environment. In this pivotal role, you will provide essential administrative and operational support to a diverse team of Sales Engineers, Estimators, Managers, and the Director of Preconstruction. You will leverage your advanced Excel and computer skills to streamline processes, maintain critical project documentation, and ensure seamless communication across the team and with external partners. From managing office supplies and purchase orders to supporting proposals, RFPs, bonding processes, and company reporting, you will be at the center of our preconstruction operations. DUTIES & ESSENTIAL JOB FUNCTIONS * Utilize advanced Excel skills (pivot tables, functions, shortcuts) for data analysis and reporting. * Quickly learn and adapt to new computer systems and tools. * Provide ongoing maintenance and ownership of the Labor Rate Planner, including semi-annual updates or as needed. * Maintain logs and executive-level reporting of Target fund requests. * Manage office supplies and procurement needs for the Preconstruction team. * Create and issue purchase orders and general purchasing tasks. * Generate company reports and maintain accurate project and administrative records. * Assist with budget-related tasks, including expense tracking and budget support. * Prepare and process entertainment and expense reimbursement requests. * Maintain bid documentation, including drawings/specifications, change orders, construction schedules, and other project documents. * Support and manage document control processes and prequalification requirements (general and project-specific). * Generate, review, and finalize proposals and RFP/RFQ responses. * Provide support for the bid bond and project bonding process. * Support Key Account Management through scheduling, documentation, reporting, and administrative coordination. * Maintain positive and effective relationships with clients, vendors, and project teams. * Participate in note-taking for meetings and ensure proper follow-up and dissemination of action items. BASIC QUALIFICATIONS * High school diploma or GED * Experience with accounting software * Minimum 1 year of exceptional command of Excel and Adobe Acrobat Professional PREFERRED QUALIFICATIONS * Bachelor's degree preferred * Experience as a construction-related administrative assistant * At least 3+ years in an administrative position * Salesforce CRM support * Microsoft Dynamics * Microsoft Excel Certified * Smartsheet strongly preferred KNOWLEDGE, SKILLS, ABILITIES, AND CHARACTERISTICS * Detail-oriented with strong organizational, team development, and leadership skills. * Ability to prioritize work and handle multiple tasks. * Excellent note-taking skills. * Able to acknowledge where skillsets can benefit the team and offload team members' duties. * Excellent communication skills, both written and verbal. * Ability to perform independently with minimum supervision. * Well-developed sense of judgment. * Ability to maintain customer and employee trust and protect operations as needed by keeping information confidential.. * Strong interpersonal skills and the ability to interact well within a team. * Ability to use time productively, maximize efficiency, and meet challenging work goals * Able to demonstrate a serious commitment to accuracy and quality while meeting goals or deadlines * Ability to take on additional responsibilities as needed, as well as determine and manage priorities with minimal guidance * Must possess and maintain an exceptional work ethic, uphold company values, and demand the highest standard of conduct from self and others * Professional appearance and a polished image that inspires confidence and trust WORKING CONDITIONS AND PHYSICAL EFFORT * Work is usually performed in a typical interior office environment. * No or very limited exposure to physical risk. * No or very limited physical effort is required.
