Administrative Assistant/Receptionist

Duties and Responsibilities:



  • Provide excellent customer service to visitors. Will work in the reception area, staff reception area greeting and welcoming clients as soon as they arrive at the office
  • Manage reception area to ensure effective telephone and mail communications both internally and externally are answered, screened and forwarded to the appropriate person and office
  • Ensure reception area is clean and presentable, with all necessary stationery and materials (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email and assist with event planning
  • Receive, sort and distribute daily mail and deliveries. Ensure income and out-going mail is processed in a timely manner
  • Maintain and track visitor log book and manage the meeting rooms bookings
  • Maintain and update client's data information
  • Order front office supplies and keep inventory of stock
  • Perform other clerical receptionist duties, such as filing, photocopying, transcribing and faxing
  • Provide administrative support for management team. May include: billing and report generation; entering and retrieving statistical data; compiling reports
  • Responding to information requests and assembling informational packets and mailings
  • Preparing monthly reports and copying and dispersing flyers, newsletters and outreach materials
  • Establish and maintain filing system to ensure accuracy of files


Qualifications:



  • High School Diploma or equivalent education is required
  • 1 year of clerical, receptionist and/or office experience required
  • Proficient computer skills to include: Windows, Microsoft Word, Excel, and the internet, and being comfortable learning new software and tracking systems
  • Ability to work well under pressure and possess good organization and problem-solving skills
  • Ability to manage multiple priorities and work in a fast-paced environment with minimal supervision
  • Pleasant personality and professional telephone manner is essential
  • Excellent organizational, oral and written communication skills, customer service skills
  • Good attention to detail, and the ability to maintain confidentiality is essential
  • Desire to work with low-income, culturally diverse, and at-risk families
  • Bilingual skills (Spanish/English) is preferred
