Your Role With Us:

  • Reviews all physical and electronic purchasing requests daily, prioritizing capital equipment and capital project orders according to departmental policy. Ensures timely placement of orders while meeting requestor needs.
  • Processes received orders within 24 hours, routing equipment to Clinical Engineering or requesting departments. Coordinates storage and monitors back orders to assure completion.
  • Accurately matches delivery documents, noting adjustments and processing invoices within 72 hours. Reviews invoices with ordering departments for completion, functionality, and accuracy.
  • Participates in soliciting bids and quotes, cost analysis, and negotiations. Coordinates No Charge Trial Purchase Orders, Trade Ins, and Returns for Credit. Ensures equitable terms and pricing.
  • Works with contracts specialists to manage software/hardware support and maintenance processes, including pricing agreements and support services.
  • Coordinates with SCS Operations Manager and/or Director to initiate procedures for recall notices, identifying affected equipment and facilitating collection and return.
  • Complies with Federal and State laws regarding documentation, invoice maintenance, records, and storage conditions/security.
  • Is well-versed in Materiel Management Information System program, ensuring efficient use and data integrity. Maintains purchasing information and updates system daily.
  • Completes assigned projects within agreed-upon timeframes, providing assistance in managing and coordinating disposition of in-house equipment.
  • Leads Kaizen work as necessary, actively participating in Lean methodology and functioning as a resource for team members.
  • Provides backup support for Purchasing, Contracts Section, and other buyers, receivers, and SCS Expeditor.
  • Stays informed about new trends and developments in purchasing and supply chain management.

    Background/Expertise:

    • High School Diploma or GED Equivalent required.
    • Minimum one (1) year of buying experience and related inventory control (healthcare experience preferred).
    • Additional three (3) years of buying experience and contract management preferred.
    • Ability to learn and apply technical information relating to purchasing, inventory management, and control principles.
    • Excellent organizational and time management skills to establish priorities and track outcomes in a dynamic environment.
    • High level of professionalism in interactions with end-users, executives, and staff.
    • Ability to work independently with minimal supervision & develop and maintain supplier relations.
    • Maintain confidentiality of patient and hospital-related matters.
    • Good working knowledge of purchasing contracts and department functions/procedures.
    • Strong computer and analytical skills (Microsoft Office Suite).
    • Proficiency with office equipment (fax machines, copiers) and keyboard literacy.
    • Demonstrated customer service, interpersonal, and communication skills.
