Position Purpose
Provides programmatic and administrative support for the Geisel School of Medicine's Office of Faculty Affairs. Supports school and departmental efforts for compliance with established faculty affairs processes (recruitment, appointment, promotion, and termination) and operationalizes best practices across Geisel. Advises department administrators on faculty and non-faculty academic appointment and search protocols. Provides administrative support, as requested for other faculty and academic programs overseen through the Geisel Office of Faculty Affairs.

Required Qualifications - Skills, Knowledge and Abilities

  • Three+ years of office experience, preferably in an academic setting.
  • In-depth knowledge of office procedures.
  • Excellent organizational and planning skills.
  • Highly proficient with Microsoft Office suite and Outlook.
  • Experience working in tracking systems and/or databases.
  • Visual aid and design skills (i.e, PowerPoint, Canva, similar tools)
  • Excellent communication and interpersonal skills.
  • High Degree of discretion and confidentially.

Description
Faculty Recruitment, Appointments and Promotions
  • Responsible for coordinating and tracking institutional approvals throughout the faculty recruitment process.
    Monitors the Faculty Dashboard for assignment of search numbers and ensures Dashboard postings maintain compliance with existing protocol. Works with department administrators to correct issues as they arise.
    Tracks faculty appointment, reappointment, change in title, and termination requests.
    Works with the Dean of Faculty Affairs to ensure materials (e.g DAB forms) submitted are complete and partners with the Geisel Finance Center to ensure faculty appointment information is accurately entered into Dartmouth's Human Resources Management System (HRMS).
    Prepares faculty appointment letters (e.g., appointment letters) subsequent to approval from the Dean's Academic Board and the Provost.
    Proofreads submitted portfolios for consideration by the Appointments, Promotions, and Titles (APT) Committee for potential conflicts and to ensure completeness of materials. Assists Dean of Faculty Affairs with managing APT committee membership. Assists departmental administrators and faculty members serving on the APT Committee with the management of portfolios through Interfolio.
    Coordinates and schedules the Appointments, Promotion and Titles (APT) Committee meetings. Arranges for teleconferencing, audio-visual and IT support, food, and other items required for the committee.

General Administrative Support
* Maintains websites for Faculty and Academic Affairs and faculty development to ensure information presented is correct, user-friendly, and updated as needed. Works with the Dean's Office to support and advance web-based technology that promotes optimal presentation of relevant materials and accessibility to users.
* Supports institutional reporting and activity tracking (e.g. retentions, retirements, emeritus) requirements for the Office of Faculty Affairs.
* Schedules meetings as needed in support of the Office of Faculty Affairs and for faculty/staff recruitment/hiring inquiries.
* Interprets, applies and maintains adherence to office, department, and College policies and procedures.
* Prepares faculty appointment, reappointment, promotion, and termination files for records management and storage in Dartmouth's OnBase digital repository.
* Prepares materials for Dartmouth Records Management archival/storage.
* Prepares visual aids for presentations and faculty development advertising
* Supports administrative and operational needs of the Directors/Associate Directors/Assistant Directors of the Office of Faculty Affairs
