About the Opportunity
The Project Manager of Support Operations will ensure the seamless execution of special projects and provide comprehensive support to the Vice President and the Executive Chair and Director of the Cancer Institute as they spearhead efforts to achieve NCI designation. The Project Manager of Support Operations will play a pivotal part in managing complex projects, fostering collaboration across departments, and maintaining clear and effective communication among stakeholders. What You'll Do
Strategic Planning and Project Management
* Lead strategic and project management efforts to support the Vice President and Executive Chair and Director by coordinating cross-functional initiatives, monitoring project milestones, preparing analytical reports, and ensuring alignment with organizational goals and priorities.
* Responsible in all aspects of project planning, including project proposal reviews to determine goals, time frame, funding, project approach, staffing requirements, deliverables, and allocation of resources.
* Support the Executive Chair and Director in managing projects to ensure their alignment with the Institutes overarching strategic goals and objectives.
* Develop and maintain project work plans utilizing the standard project management software tools to drive projects to advance efforts toward NCI designation.
* Create and maintain the project scope/charter with assistance from management.
* Develop and maintain project schedules, ensuring timely completion of milestones.
* Proactively manage projects to identify potential risks and/or issues and escalate appropriately.
* Implement and monitor the change control process, documenting and facilitating outcomes for assigned projects.
Support for Senior Leadership
* Collaborate closely with the Vice President and the Executive Chair and Director to coordinate and oversee administrative functions related to the pursuit of NCI designation, including managing timelines, preparing necessary documentation, and facilitating communication across key stakeholders.
* Support the Vice President and the Executive Chair and Director in addressing the challenges of pursuing NCI designation by overseeing critical operational tasks, promoting collaboration across departments, and providing proactive assistance to meet essential deadlines and achieve strategic objectives.
* Facilitate meetings for the Vice President and the Executive Chair and Director, ensuring efficient preparation and follow-up.
* Prepare and deliver visual presentations and written reports that support decision-making processes for senior leadership.
* Coordinate communications between the Vice President, the Executive Chair and Director, and other departments to ensure seamless collaboration.
* Ensure the effective functioning of senior leadership by handling complex scheduling needs, supporting project coordination, and delivering timely preparation of reports, presentations, and other critical materials.
Communication Effectiveness
* Enhance communication effectiveness by developing and managing communication strategies, coordinating messaging across internal and external stakeholders, and providing thorough support to the Vice President and Executive Chair and Director to ensure clear and consistent information dissemination.
* Ensure project status, issues, and successes are clearly communicated to all levels (team, management, stakeholders, etc.), documented and in accordance with project plan and standards.
* Conduct routine project meetings to share organizational information, provide guidance, direction, and motivation, and discuss overall performance.
* Participate in pre-engagement preparation, implementation planning, and transition to support.
* Identify common themes, make inferences, and draw conclusions to enhance project outcomes.
