Essential Functions and Primary Duties

  • Answer and route all phone calls
  • Assist Office Manager with requests
  • Receives the public and answers questions, in person and by telephone; responds to inquiries from employees, clients, etc. and refers, when necessary, to the appropriate person, official or department.
  • Maintain daily sign in sheet for all employees. Update phone list on a weekly basis.
  • File and maintain records.
  • Process and prepare memos, correspondence, or other documents.
  • Process incoming checks for daily deposit and record receipts for services.
  • Send, receive, and log all messenger, FedEx, UPS and DHL services.
  • Maintain calendar for conference room and visitor office scheduling.
  • Coordinate catering for internal meetings and events as necessary.
  • Process invoices for various office services.
  • Coordinate maintenance requests with the building.
  • Assist HR with ad hoc requests.
  • Assist Marketing with Internal Meetings/Events as needed.
  • Assist with office events
  • Ability to troubleshoot issues as they arise
  • Assist with any additional ad hoc requests.
  • Takes initiative and have a can do attitude

Qualifications:

  • Demonstrated knowledge of basic business, technology, switchboards, and general office administration.
  • 2-4 years of experience
  • Strong communication skills and follow-through are required for this position.
  • Proactively seeks ways to assist internal and external clients
  • Professional demeanor
  • Ability to multitask in a fast-paced environment
  • Effective written and verbal communication skills
  • Ability to work out of the NYC office, 5 days a week

The annual salary target for this job in this market is $24.00-25.48/hour. The specific compensation for this role will be determined based on the education, experience, and skill set of the individual selected for this position.
