The Executive Assistant for Operations and Finance provides high-level administrative support and logistical coordination to the Chief Operating Officer (COO), Deputy COO, and Associate Vice President for Finance. This critical role requires a proactive and self-directed professional who anticipates needs, demonstrates excellent judgment, and ensures the seamless management of complex priorities. The Executive Assistant serves as a primary point of contact for internal and external constituencies and handles matters with discretion, diplomacy, and a high level of confidentiality. A commitment to excellence, attention to detail, and the ability to thrive in a fast-paced, mission-driven environment are essential. Additional duties include, but are not limited to:
  • Expertly manage three demanding calendars.
  • Coordinate meetings, travel, and events.
  • Prepare briefing materials.
  • Support key initiatives led by the COO, Deputy COO, and Associate VP for Finance.


Work Interactions

The Executive Assistant reports directly to the COO and works in close coordination with the Deputy COO, Chief of Staff, and Associate Vice President for Finance. This highly visible position has frequent interaction with University leadership, faculty, staff, students, external partners, and VIP guests, and requires the highest standards of professionalism. The Executive Assistant will collaborate with teams across the organization, including the Offices of the President and Provost, Office of the Dean, Finance, Operations, Human Resources, Legal, and Facilities, to ensure efficient communication and coordination of priorities.

Requirements and Qualifications
  • Bachelor's degree
  • 5 years of progressively responsible administrative experience supporting senior leadership or C-level executives, preferably in higher education, nonprofit, or similarly complex organizations
  • Outstanding written and verbal communication skills
  • Proven organizational and analytical abilities with meticulous attention to detail
  • Ability to manage multiple priorities and tasks under tight deadlines
  • Discretion, sound judgment, and professionalism in handling sensitive and confidential information
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Workspace (Gmail, Calendar, Drive, Slides), and familiarity with collaboration tools (e.g., Zoom, Slack, Teams)
  • Familiarity with financial and operational processes is a plus
  • The ideal candidate is adaptable, resourceful, and excels in a collaborative environment, while maintaining the autonomy to manage and prioritize tasks independently

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:
$47,586.00 - $87,558.13

Compensation is determined by a number of factors including, but not limited to, the candidate's individual qualifications, experience, education, skills, and certifications, as well as the University's business needs and external factors.
