Nature and Scope

The Facilities Manager provides leadership and hands-on technical support for day-to-day building upkeep and facilities maintenance at all American Regent sites in Ohio. Working as part of a multi-disciplinary team, the Manager will ensure all modification, installation, preventative maintenance, operational support, repair, or troubleshooting activity is properly staffed and supported in compliance with engineering specifications, the Food and Drug Administration (FDA), and Good Manufacturing Practices (GMP) guidelines. The Manager will be responsible for providing Subject Matter Expertise (SME) on facilities issues. This position requires the ability to lead, direct, and grow their staff, chair meetings; present topics to the leadership team, and provide constant thorough and professional communication throughout all levels of the organization. Furthermore, the position will monitor progress of internal projects and identify strategies and opportunities that can enhance the organization through efficiencies.

Manage Facilities Preventative Maintenance/Repair Program

  • Prepare, maintain, and follow procedures for the facilities systems and associated processes to adhere to cGMP's, company, local and state requirements.
  • Maintain, review and communicate metrics to all levels of the organization.
  • Support efforts to analyze and communicate performance against expectations, provide feedback, establish and track required actions to improve performance.
  • Coordinate facilities activities and scheduling of work.
  • Review Facilities Paperwork.
  • Evaluate facilities statistics (eg pest control monitoring) and adjust plans to suit.)
  • Monitor facility conditions and implement corrective actions for out of specification operation and alarms.
  • Optimize spare parts stocking program.
  • Assess staffing levels against requirements and customer needs.
  • Support Quality Assurance investigations of facilities issues.
  • Coordinate facilities equipment and system breakdown repair activities and serve as customer point of contact.
  • Facilitate completion of change control documentation.
  • Ensure that equipment files are maintained.
  • Ensure that facilities drawings are maintained in as-built condition.
  • Perform technical troubleshooting on facilities systems.
  • Serve as owner and subject matter expert Pest Control, Housekeeping, Physical Security, Access Control, Landscaping, Housekeeping, and Space Planning systems.
  • Develop and implement improvements through cross-functional interactions.
  • Develop, review, revise, and maintain SOPs for all facilities processes.
  • Manage cubical and office assignments.
  • Assist with EHS activities when applicable and appropriate.

B. Manage Facilities Staff

  • Provide day to day supervision including oversight of work quality.
  • Provide effective Leadership including: individual goal setting/performance reviews, managing the development of employees, recognizing and appreciating employee contributions, mitigating conflict and communication problems, planning and facilitating team activities, selecting personnel and motivating members of the functional area.
  • Manage staffing levels to ensure coverage of manufacturing and lab operations.
  • Develop training and evaluate personnel.
  • Develop training modules; provide coaching/feedback to develop/enhance technical personnel capabilities.
  • Ensure effective and up to date training
  • Remain current on industry and FDA engineering standards and trends.
  • Manage inventory of housekeeping and other facilities supplies.

C. Coordinate Service Providers

  • Manage contracts to ensure appropriate service levels at acceptable cost levels.
  • Establish agreements to assure coverage of systems including Landscaping, Cleaning, Vending, Pest Control, Comfort HVAC, Snow Removal, Security, Fire Systems, etc.
  • Oversee technical quality of work performed.
  • Ensure that work performed by service providers meets regulatory expectations.
  • Work with leased property landlord(s) to resolve facilities related issues.
  • Position has responsibilities at multiple locations in central Ohio.
  • Perform any other tasks/duties as assigned by management.

Education Requirements and Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

  • Bachelor degree in a technology, engineering, management or related field or equivalent experience required.
  • Minimum 8 years of experience in facilities management or maintenance management required.
  • Minimum of 5 years of experience in Pharmaceutical or similar regulated industry preferred.
  • Minimum 5 years Leadership experience.
  • Must be proficient in the use of Microsoft Office Applications, including Microsoft Project, Word, and Excel.
  • Must be a creative thinker with good interpersonal relationship skills, strong project management and process improvement skills, as well as strong cross-functional teamwork skills.
  • Job assignments are complex in nature and require excellent planning, project leadership, technical skills, and communication to be successful in meeting project objectives. The Manager must be able to coordinate and resolve both interpersonal and technical problems and work independently.
  • Ability to clearly and concisely express thoughts in written procedures, protocols, and reports. Ability to write procedures that clearly define required tasks. Ability to proofread other's work for accuracy. Ability to generate presentations/reports to explain and/or analyze areas of responsibility.
  • Comfortable working in production environment with multiple priorities. Works effectively as a team member or as a team leader.
  • Effective oral and written communication skills, acute attention to detail, excellent time and project management skills, and the drive to complete projects thoroughly is required, as is the ability to handle multiple priorities in a fast-changing work environment.

  • Understanding of engineering principles as they apply to facility equipment.
  • Understanding of maintenance and calibration strategies and techniques. Understanding of Continuous Improvement Principles.
  • General knowledge of Plant Utility systems and equipment such as vacuum pumps, compressors, chillers, boilers, etc.
  • Detailed knowledge of facilities maintenance, cleaning, and servicing.
  • Ability to understand mechanical layouts and electrical/pneumatic schematics (P&ID's).
  • Experience with internal customer and vendor interaction and coordination.
  • Ability to work overtime as needed.

Physical Environment and Requirements

  • Employee must be able to occasionally lift and/or move up to 25 pounds.
