Position Description
This position reports to the Sr. Director Resource Planning, and is responsible for supporting all Directors, Managers, and staff in various departments. Support includes both administrative and financial duties, ensuring efficient overall operations.
Essential Job Tasks
Supports the Director of Resource Planning and the broader resource planning team. Manages the Director's calendar, schedules meetings, and coordinates appointments. Prepares and edits correspondences, reports, and presentations. Organizes and maintains files, both physical and digital. Arranges travel itineraries, accommodations, and expense reports. Handles incoming communications, including emails and phone calls. Assists with meeting preparation, including agendas, minutes, and follow-up actions. Coordinates logistics for department events, meetings, and special projects. Performs general office duties and administrative tasks as needed. Manages and tracks payments on long term agreements. Supports process automation and continuous improvement initiatives. Monitors floor equipment operations, maintaining adequate supplies, supporting mail pick up and distribution as needed, and maintaining housekeeping including material disposal, filing, kitchen area, etc. Supports individual and team needs such as meeting scheduling, preparation of agendas/minutes, and supporting mailings. Processes expense reports, travel authorizations, mileage forms as needed. Arranges travel and training/conferences as requested. Utilizes P-card for multi-department needs. Processes all Procurement-card transactions with necessary documentation in Works. Understands and uses the Oracle Purchasing System, creates requisitions, limited purchase orders, payment releases on blanket purchase orders, and receiving reports. Ensures accuracy with charges and credits, and investigates any issues that arise, working independently at an intermediate level of complexity. Other tasks and projects, as assigned.
Tracks spending/payments for budgetary reporting and for monitoring long term purchase agreements.
Works with suppliers when needed to ensure invoices are submitted promptly.
Position Requirements

Financial Specialist A
High school diploma/GED + 8 years of experience, or Associates degree +4 years of experience required.
Compensation Information
$23.85 - $29.80 (min. - mid.)
Financial Specialist B
High school diploma/GED + 2 years of experience, or Associates degree + 1 year of experience required.
Compensation Information
$21.55 - $26.90 (min. - mid.)
Financial Specialist C
High school diploma/GED required.
