Job Summary

The Administrative Supervisor is responsible for clerical duties to include managing timesheets and communicating operational information from the field to corporate, regional management and customers and vendors as needed. This role will require the ability to multi-task and provide back-up assistance when needed to order supplies and PPE, as well as complete and maintain site specific documentation. The ideal candidate will have excellent administrative, customer service, communication, organizational, and interpersonal skills and will demonstrate the ability to multi-task.

Job Duties

  • Supervises, directs, hires, coaches and manages Administrative Generalists within assigned department.
  • Submits data entry for railcar billing, working in billing and accounting systems.
  • Submit approvals for railcar billing along with forms/pictures as necessary
  • Set up shipments for material as needed
  • Completes timesheet entry for site employees
  • Tracks attendance and maintains personnel files.
  • Ensures and maintains employee confidence by keeping information confidential.
  • Maintains payroll operations by following policies and procedures; reporting needed changes.
  • Maintains Safety Council records.
  • Submits monthly and quarterly updates
  • Provides administrative support and back-up assistance to order unit supplies and PPE as needed.
  • Order material and PPE as requested by location
  • Enter requisitions for invoices when purchase order is needed
  • Receive material into S4 once checked in by repairmen
  • Contributes to team effort by accomplishing related results and all duties as assigned
  • Maintain DISA compliance for site entry
  • Ensure monthly cycle counts, inventory transfers, and adjustments are completed
  • Assisting with site start up and training
  • Order pre-employment testing as needed (background, physicals, drug screens, etc)
  • Complete new hire process, enter pay rate changes, title changes, and terminations.
  • Other duties as assigned

Experience and Education

  • Minimum Seven (7) years of administrative experience in a rail and/or tank car repair environment
  • High school degree or equivalent
  • Proficient in data entry
  • Proficient in Microsoft Office (Excel, Outlook, Word, and PowerPoint)
  • Good communication and organizational skills
  • Ability to multitask and meet deadlines on a consistent basis
  • Maintain high level of confidentiality and professionalism
  • Speak fluent English
