Job Title: Accounting & Sales Support Specialist
Location: Elk Grove Village, IL
Classification: Full-time, Exempt
Position Summary:
A global leading manufacturing company is seeking a detail-oriented and collaborative individual to join their team as an Accounting & Sales Assistant. This position will provide essential support to the company overall, ensuring smooth financial operations and efficient sales processes.
The ideal candidate will be proficient in managing accounts receivable and payable, assisting with month-end and year-end closing procedures, and supporting sales activities. This role requires a proactive individual with excellent communication and multitasking abilities.
This role is ideal for someone looking to build a strong foundation in accounting and eager to learn and grow with the organization. While prior experience is not required, a basic understanding of accounting principles and a strong desire to develop expertise in this area are essential.
Key Responsibilities:
Accounting Support:
Accounts Receivable (AR):
* Generate and issue invoices accurately and promptly.
* Monitor and track customer payments, ensuring timely collection.
* Implement a proactive approach to payment delay reminders and follow up on overdue accounts.
* Maintain accurate AR records and resolve billing discrepancies.
Accounts Payable (AP):
* Process and verify vendor invoices, ensuring accuracy and compliance.
* Manage vendor payments and maintain accurate AP records.
* Respond to vendor inquiries and resolve payment issues.
Accounting Support:
* Assist in the preparation of month-end and year-end financial reports.
* Support the reconciliation of bank statements and other financial records.
* Assist in data entry and maintain accurate financial records.
* Utilize the company's ERP system to manage accounting transactions and generate reports.
* Ensure data accuracy and integrity within the ERP system.
* Assist with bank reconciliations.
Sales and General Affairs Support:
* Assist the sales team with order processing and customer inquiries.
* Provide administrative support for sales meetings and presentations.
* Maintain customer databases and update sales information.
* Generate sales related documents.
* Manage office supplies and inventory, ensuring adequate stock levels.
* Handle incoming and outgoing mail and packages.
* Assist with travel arrangements and meeting coordination.
* Manage and maintain office equipment.
* Support general office administration.
Qualifications & Skills:
* Bachelor's Degree in Business, Communication, Accounting or a related field.
* Prior experience in Accounting or Office Administration is preferred; open to considering candidates with a strong desire to learn and grow within the organization.
* Demonstrated a global mindset and ability to work in the diverse workplace or collaborate with teams overseas.
* Basic understanding of accounting principles and procedures.
* Proficiency in using ERP systems (or willingness to learn).
* Proficient in using Microsoft Office Suite (Excel, Word, Outlook).
* Strong communication and interpersonal skills.
* Ability to work independently and as part of a team.
* Proactive and problem-solving attitude.
* A bright, positive personality and a strong work ethic.
* Motivation to grow within the organization.
* Japanese language is a plus.
