Job Summary
The Business Administrator oversees internal controls and manages day-to-day operations for a department, school, or division, focusing on the University Staff Council. Responsibilities include program assistance, event and project coordination, administrative support, and resource management. The role involves reviewing administrative processes and recommending efficiency and professional development improvements.

Additionally, the Business Administrator supports program development and marketing for the University Staff Council, serves as secretary and treasurer, and collaborates with various campus constituencies. This position also provides rotational front desk coverage for the Office of the President and Chief of Staff.
Minimum Education and Experience

  • Bachelor's degree; and
  • Three to five years of experience performing administrative duties with two of these years in a position with unit-wide scope; and
  • One to three years of supervisory experience; and
  • One to three years administrative experience in higher education.
  • An equivalent level of relevant education and experience may be considered.

  • Experience coordinating events.
  • Advanced proficiency in Microsoft Excel, MS TEAMS, Canva, PeopleSoft, and WordPress.
  • Familiarity with the management of financial records.
  • Previous experience working in a university setting.

Essential Duties and Responsibilities
Essential Duties and Responsibilities

Program Assistance (25%)

  • Supports special projects including awards, scholarships, and yearly elections process.
  • Maintains the staff council website, TEAMS channel, and historical records.
  • Attends regular meetings and makes regular purchases for the Staff Council.
  • Maintains financial data in accordance with policy, provides reports, and reconciles accounts as required, aiding with budget.
  • Serves as subject expert on Staff Council bylaws and policies and procedures.


Event & Project Coordinating (25%):

  • Coordinates meetings and special events.
  • Manages digital files, databases, spreadsheets, and checklists.
  • Maintains inventories for fundraisers and promotional items.

Administrative Support (25%):

  • Serves as Staff Council Secretary, responsible for the completion of meeting minutes and agendas for both the monthly Staff Council Meeting and the monthly Executive Board Meeting, ensuring the timely submission of minutes from all standing committees.
  • Assists the President, Vice President, and Executive Board of Staff Council as necessary.
  • Processes travel and expense reimbursements.
  • Greets and assists visitors, clients, and staff in a professional and friendly manner.
  • Monitors and maintains the appearance of the front desk area.
  • Ensures smooth handover of duties during shift transitions.

Other Duties (25%, once fully trained)
  • Assigned additional duties assisting the Office of the VPCOS Division once fully integrated and trained in Staff Council.
Physical Demands and Working Conditions

  • Regularly required to sit, occasionally walk or drive on campus.
  • Ability to push/pull a cart and lift up to 25lbs.

Remote Work Notice
A hybrid remote work schedule may be available after the 6-month probationary period. Employees must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at anytime.
