Position Summary
This full-time position serves as a business and administrative professional for the Friends of the State Botanical Garden. The incumbent is responsible for assisting with or completing many administrative tasks that are varied in nature and may require a wide-ranging skill set with a complete knowledge of the department's functions. While supervision of this position may be limited, the supervisor is available for clarification of policies and procedures. Issues and data handled will frequently be highly confidential in nature and accuracy is of utmost importance. It is imperative that the incumbent use professional discretion effectively. Tasks may shift throughout the day; it is highly important that the individual exercise competence and professionalism while reprioritizing responsibilities. This position works closely with the Friends of SBG President, Executive Committee, Friends members (approximately 1,500 members), SBG Director, SBG Assistant to the Director for Strategic Initiatives, SBG Director of Development and SBG Major Events Manager.
Knowledge, Skills, Abilities and/or Competencies
Working knowledge of office practices and procedures. Organizational skills. Ability to use discretion with confidential information. Ability to use independent judgment. Ability to work under limited supervision. Proficiency in CRM and database management systems.

Administration and Communication

  • Maintain accurate membership database of approximately 1,500 members; process new and renewal memberships in a timely manner (within 1-2 weeks of receipt). Accuracy and timeliness are critical.
  • Generate membership reports and analyze data to identify trends.
  • Prepare membership packets, monthly dues notices (first and final notices) and other mailings. Maintain mail lists and listserv for membership, newsletter and other correspondence.
  • Track Friends publications and maintain supply inventories.
  • Respond to member inquiries promptly and professionally.
  • Process cash, check, credit card payments and deposits for Friends memberships. Submit additional donation documentation to the Foundation and prepare acknowledgement letters.
  • Update Friends board directory.
  • Work with garden communication team to create promotional materials.
  • Prepare regular notices of Friends events and contribute to the garden magazine.
  • Garden representative for Earthshare Georgia, submitting required paperwork and representing SBG at conferences

  • Develop and execute strategies to attract new members through outreach, marketing and networking.
  • Implement initiatives to maintain member engagement and track member renewal rates and create strategies to increase renewal.
  • Prepare monthly membership report for the Friends board.

Duties/Responsibilities
Event Management

  • Responsible for creating and managing registration for Friends events including Friends First Fridays, annual meetings, trips and other special events as necessary. Tasks include collecting money, sending tickets/correspondence, maintaining RSVP lists and serving as registration table host.
  • Create and send email invitations in GAIL for Friends and garden events to Friends membership. Forward email invitations to Friends membership for other Garden events as requested.
  • Work closely with the Friends Executive Committee to manage their meetings calendar, create and disseminate agenda and other materials for meetings and attend meetings.
