Position Summary
This position provides crucial support to the School of Public and International Affairs' Development and External Relations office, coordinating the administrative functions of the unit and serving as the sole administrative support person for the staff.

A key responsibility of this role is to ensure consistent office coverage during business hours,
often serving as the primary in-office presence when other staff members are unavailable or traveling. While primarily following standard business hours, this position occasionally involves evening and weekend work to support special events, meet critical deadlines, or address time-sensitive matters related to donor relations and alumni activities.

To be successful in the role, the employee will maintain correspondence, calendars, confidential endowed funds, donor files, and generate reports and summaries to track fiscal year fundraising progress and historical trends. In addition to preparing and managing correspondence, filing, managing travel, and assisting in reimbursements, this incumbent assists with departmental meetings and special project.

A key aspect of this position is providing administrative support for stewardship activities, which contribute to cultivating and maintaining strong relationships with donors. This involves managing and organizing information that connects donors with the impact of their investments, and assisting in the preparation of materials that ensure donors feel valued ,appreciated, and informed about the significance of their contributions. Related tasks include data management, report generation, and coordinating and executing stewardship communications and events.

This incumbent will interact with a various group of important external callers and visitors as well as internal contacts at all levels of the University. Independent judgment is needed to plan, prioritize, and organize assorted workloads and recommend changes in office practices or procedures.

Given the confidential nature of much of the work, this position involves a high degree of discretion and professionalism. to be successful in the role, the employee will be detail-oriented, possess strong communication skills, and have the ability to manage multiple priorities in a dynamic environment.
Knowledge, Skills, Abilities and/or Competencies

  • Detailed knowledge of how the University of Georgia operates including policies and procedures.
  • Thorough knowledge of budgetary policies and procedures.
  • Knowledge, organizational and computer skills necessary to use key university systems (OneUSG Connect, UGAmart, and GAIL).
  • Outstanding writer and excellent proofreader.
  • Detail-oriented with a drive to effectively manage a project from start to finish.
  • Experience with GAIL a plus.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.).

General Administrative Support

  • Schedule meetings for ODER staff (i.e. manage Doodle polls for large group meetings including annual Departmental meetings, event meetings, etc.)
  • Create RSVP surveys for meetings and events and manage responses via Google forms or other software
  • Use the GAIL constituent relationship management system to assist with ODER staff with events, stewardship, prospect management and research
  • Enter meeting interactions into GAIL as directed
  • Assist ODER staff with tasks related to GAIL database such as: data entry of all types, updating information, requesting lists, etc.
  • Assist with the management and execution of a timely, personalized acknowledgement process for donations to SPIA using the GAIL database (e.g. prepare weekly thank you letters from the dean and SPIA staff, prepare postcards for first-time donors, etc.)
  • Enter acknowledgements and stewardship activities into GAIL
  • Assist Director of External Relations with management of SPIA Ambassador program (Creating meetings in Signup, sending reminders on Listserv, tracking student requirements, scheduling interviews in the spring, tagging students in GAIL etc.)
  • Attend meetings - both internal and external - as directed, for example: ODER staff meetings, event logistics meetings, board meetings, etc. Prepare minutes and/or follow up notes and action items from these meetings and distribute and/or record appropriately.
  • Edit website content as directed
  • Manage office errands, equipment, and mailings

  • ODER liaison for Facilities Management Department maintenance issues
  • Provide specialized support to the Sr Director of Development and Alumni Relations as needed (e.g. Preparing proposals, written correspondence, calendar assistance, briefings, assisting with donor communications and meeting logistics, serving as additional point of contact)
  • Assist with gratitude impact reports and maintaining donor lists
  • Provide administrative support to staff, particularly when they are traveling or handling confidential information
  • Use Asana work management platform to track projects and assignments, due dates, etc.

  • Assist with planning, coordinating and executing alumni/donor relations and stewardship activities, events, and special projects, which may occasionally require evening and weekend work (includes reserving spaces, ordering catering, greeting guests, facilitating set-up and clean-up, RSVP list management, student involvement coordination, etc.)
  • Print materials for events
  • Prepare and print nametags
  • Pack and manage supplies lists
  • Staff events as necessary
  • Maintain event supplies (dry cleaning tablecloths, refreshing name badges, etc.)
  • Enter event attendance into GAIL
  • Review attendee lists for VIP guests and notify ODER staff
  • Develop and execute event follow-ups as needed
