Department: Business Services

Reports to: Director of Business Services

Status: Non-Exempt

Summary

To provide administrative support to Business Services division to ensure that internal and external customer compliance and satisfaction measures are met.

Duties and Responsibilities



  • Provides administrative support to the Chief Mission Officer and Business Services department. Assists with meeting preparation and attends all department meetings. Responsible for all aspects of customer service within the department.
  • Serves as the customer service representative to the Business Services department. Responds to phone calls, emails, addresses questions, and directs customers to operational managers.
  • Responsible for ensuring all compliance regulations result in a thorough evaluation and determination of disability status to maintain compliance and within contract standards.
  • Accurately prepares invoices for billing based upon work/purchase orders, shipping, and other information pertaining to contracts. Forwards copies to customers and/or appropriate entities. Enters federal, state and commercial invoices into appropriate websites.
  • Trains staff on billing system. Responsible for creating new project codes as needed. Is the point of contract for the department on billing system, troubleshooting issues, and communicating directly with the system administrator.
  • Performs data entry into government databases (DISS) to obtain security clearances for all Goodwill Services employees/ client workers. Works directly with client workers to complete clearance process in eQIP.
  • Performs audits on all program files to identify potential areas of non-compliance. Works with the Director of Business Services to resolve concerns.
  • Collects, maintains and prepares payroll hours for the Business and Mission Services department. Runs payroll validation report and communicates issues and concerns directly with the Payroll Manager or operational manager as appropriate.
  • Extrapolates and interprets data from various reports to assist with the completion of compliance reports, with or without the use of a data analytics platform. Submits required reports as required to the correct website.
  • Manages aged receivables and status reports of receivables on a regular basis to minimize bad debt exposure. Work with finance department and operational managers to ensure collection of receivables. Resolves customer issues with receivables in a timely manner and communicates issues to finance and management.
  • Checks sources such as Source America and Unique Source weekly for any policy or regulation changes, FAQ's, etc. and brings them to the attention of Director of Business Services.
  • Works to identify eligibility of Source America grant and reimbursements. Writes basic narratives; completes grant application forms and compiles required information for submission.
  • Maintains office supply and Goodwill Services Inc. apparel inventory and fulfills orders as needed.
  • Promotes an environment of workplace safety. Assures that duties are performed in a safe manner and safety requirements are adhered to.
  • Communicates progress, problems, and concerns to the Director of Business Services.

Qualifications

Education and Experience



  • Associate's degree in business management or relevant field; or HSD/GED and two (2) years' relevant experience which enables the individual to meet the standards and expectations of the position.
  • Two (2) years' experience in overseeing high level compliance activities and/or working with highly confidential documents.


Skills/Abilities/Qualifications



  • Must be able to obtain and maintain "secret" clearance issued by DOD.
  • Working knowledge of computers, software applications with a working knowledge of data analytics platforms preferred.
  • Must be able to work maturely with confidential information and ability to confidentially and securely handle HIPPA and PII information.
  • Must be able to make sound decisions and handle multiple tasks successfully.
  • Must possess excellent communication skills - verbal and written.
  • Must possess strong analytical skills.
  • Must present self in a professional manner.
  • Ability to prioritize and organize work under minimal supervision.
  • Ability to work beyond normal schedule as needed.
  • Must possess a valid driver's license and reliable vehicle or reliable transportation.
  • Ability to travel within Goodwill Keystone Area territory.
