Coordinates installation of furniture and equipment, schedule/coordinate appropriate vendors and manage resources during moves. Provides administrative and clerical support to the FF&E Planners for the day to day activities including: tracking purchase orders, requesting vendor quotes, participating in various project meetings to assist with maintaining records of all project dates and deliverables, coordinating walk-throughs and field verifications, developing move schedules and tasks, coordinating move planning meetings, assisting with project close-out. Responsible for the processing of all quote requisitions for obtain purchase orders. Responsible for admin duties ex: scheduling meetings, outgoing correspondence etc.

Education

Required -High School diploma or equivalent

Preferred - Associates Degree or higher

Work Experience

Required -5 yearsAdministrative experience.

Computer literate and proficient work knowledge of various computer programs to include Microsoft Word, Excel, PowerPoint, etc.

Job Duties

  • Supports FF&E Planning team with effective schedule and task management.

  • Effectively communicates about projects to team members in a timely and clear fashion.

  • Processes requisitions and invoices in a timely manner

  • Project and Move Coordination: track purchase orders, request vendor quotes, monitor progression of project schedules, coordinate vendor walk throughs and field verifications, manage resources during moves, participate in various project meetings to assist with maintaining records of all project dates and deliverables, develop move schedules and tasks, coordinate move planning meetings, assist with project close out.

  • Excellent time management and project coordination skills with strong attention to detail and follow-through.
  • Excellent analytical skills. Must be self-directed and able to work with little or no supervision.
  • Must have ability to prioritize, organize and coordinate multiple work assignments in a fast paced environment.
  • Ability to stand and sit for extended periods. Ability to communicate orally and in writing and to work longer than 8 hours on occasions.
  • Must be able to push, pull and carry items weighing up to 30 lbs.
  • Must be willing and able to travel between System Campuses.

Medium Work - Exerting 20 to 50 pounds of force occasionally, and/or 10 to 25 pounds of force frequently, and/or greater than negligible up to 10 pounds of force constantly to move objects. (Constantly: activity or condition exists 2/3 or more of the time) to move objects. Physical demand requirements are in excess of those for Sedentary Work. Even though the weight lifted may be only a negligible amount, a job should be rated Light Work: (1) when it requires walking or standing to a significant degree; or (2) when it requires sitting most of the time but entails pushing and/or pulling of arm or leg controls; and/or (3) when the job requires working at a production rate pace entailing the constant pushing and/or pulling of materials even though the weight of those materials is negligible. NOTE: The constant stress and strain of maintaining a production rate pace, especially in an industrial setting, can be and is physically demanding of a worker even though the amount of force exerted is negligible.

Mechanical lifting devices (carts, dollies, etc.) or team lifts should be utilized.
Must be able to sit and stand for prolonged periods of time.
Must be able to travel throughout and between facilities.
Must be able to work a flexible work schedule (e.g. more than 8 hours a day).

Normal routine involves no exposure to blood, body fluid or tissue and as part of their employment, incumbents are not called upon to perform or assist in emergency care or first aid.

There is no occupational risk for exposure to communicable diseases.
