College of Medicine:

The UCF College of Medicine educates and inspires individuals to be exemplary physicians and scientists, leaders in medicine, scholars in discovery, and adopters of innovative technology to improve the health and well-being of all. The College of Medicine is an LCME-accredited medical college with an annual matriculation of 120 medical students and is part of an Academic Health Sciences Center which includes multiple health affairs disciplines. The Health Sciences Campus is part of a growing biomedical cluster known as "Medical City" at Lake Nona which is dedicated to innovation in health and wellness and continues to develop just east of the Orlando International Airport. In addition to the medical school, the Medical City includes the university teaching hospital (UCF Lake Nona Medical Center), a state-of-the-art research center at the Burnett School of Biomedical Sciences, multi-college graduate education programs, UCF outpatient clinics, the Orlando Veterans Affairs Medical Center, the Nemours Children's Hospital, and the UCF Lake Nona Cancer Center.

The Opportunity:

The Executive Administrative Officer provides direct support to a key leader with dual responsibilities as Vice President for UCF Health Affairs and Dean of the College of Medicine. The EAO will direct, facilitate, and execute critical communications, administrative tasks, and special projects, ensuring seamless operations. This position requires close collaboration with the President's and Provost's offices, as well as managing internal and external communications with university and CEO-level partners. Absolute discretion and the ability to handle confidential information are essential.

Responsibilities:

Executive Leadership:


  • Direct and manage the day-to-day operations of the VP/Dean's office, including staff supervision and performance management.

  • Oversee leadership meetings and ensure clear, consistent communication reflecting the VP/Dean's vision across health, education, research, and partnerships.

  • Execute and manage all executive communications, including emails, letters, presentations, and official responses, collaborating with relevant university departments (Communications, Legal, Accreditation).

  • Serve as a voting member of the College of Medicine's Enterprise.


Strategic Project and Program Management:


  • Drive priorities, projects, and communications within the College of Medicine and Academic Health Sciences Center's matrixed structure.

  • Plan, implement, and manage strategic programs, ensuring timely follow-up and action item completion.


External Relations and Representation:


  • Serve as a highly visible representative and ambassador for the VP/Dean in health, business, educational, and community arenas at local and national levels.

  • Actively participate in and manage college and divisional committees and advisory groups.


Operational and Team Leadership:


  • Chair the College's Events and Engagements committee, supervising the Event Manager, Community Engagement Manager, and administrative coordinators.

  • Lead Executive Administrative Staff meetings and provide oversight to ensure effective coordination and communication across the college's administrative support teams.


Financial and Administrative Oversight:


  • Collaborate with finance to develop and manage the VP/Dean's office annual operating budget, Dean's Excellence account, and office operating account.

  • Manage timekeeping, leave processing, and annual performance evaluations for VP/Dean's direct reports and those reporting to this position.


Compliance and Executive Support:


  • Manage the annual processing of certification renewals, including MD license renewals and sensitive licenses/certifications.

  • Oversee conflict of interest document processing for the VP/Dean.

  • Manage membership communications and renewals with national organizations and advisory boards.

  • Maintain the VP/Dean's CV and Bio, and confirm documents for board meetings.

  • Coordinate and manage leadership searches.

  • Other duties as assigned.


Minimum Qualifications:

Bachelor's degree or Master's degree and 8+ years of relevant experience, including 3+ years of leadership experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.Click here for more information

Preferred Qualifications:


  • Advanced degree; Master's degree, MD, or PhD strongly preferred, demonstrating advanced analytical and strategic thinking skills.

  • Significant previous experience working with CEO, President, VP or Dean, indicating a proven track record in high-level strategic and operational management.

  • Exceptional communication skills, with experience in speeches, presentations, and official communications.

  • Proven ability to build and maintain strong relationships with internal and external stakeholders, including community leaders and legislative figures.

  • Experience in strategic planning, budget development, and implementation.

  • Demonstrated experience in navigating complex organizational and external landscape.

  • 3+ years of demonstrated supervisory experience.
