The Executive Assistant to the Vice President (VP) of Student Affairs provides essential support to the Vice President and the Office of the Vice President in all division operations. This position is responsible for conducting research, preparing data reports, making recommendations based on research findings, and managing various administrative functions. The role involves assisting with project coordination, budget administration, and delivering superior customer service. The Executive Assistant also plays a key role in managing confidential communications, supporting the emergency loan process for students, and collaborating with other staff across departments. Position is also responsible for coordinating Student Affairs events with both internal and external stakeholders. This position is governed by state and federal laws and institutional policies.

Essential Duties

  • Administrative Support Provide clerical, communications, and correspondence support for the Vice President, including managing confidential materials and handling all related tasks efficiently.
  • Document Preparation Prepare and provide documents for communications, presentations, and meetings, ensuring accuracy and completeness.
  • Internal Documentation Process internal documents related to purchase requests, travel arrangements, timesheets, and other operational needs to support the college's functions.
  • Meeting Support Attend meetings as requested, providing record-keeping, minutes, and correspondence support as needed.
  • Guest and Client Services Greet guests, respond to inquiries, and coordinate meetings in the Office of the Vice President, ensuring professional service and coordination.
  • Cross-Department Collaboration Work with other administrative assistants and cabinet members to support college initiatives and projects. Collaborate with other divisions, departments, and external agencies to facilitate communication and operational tasks.
  • Budget Management Assist the Vice President in managing the Student Affairs budget and monitor the budgets for direct reports. Ensure all financial transactions are processed timely and accurately.
  • Scheduling & Travel Coordination Coordinate the Vice President's schedule, including meetings, travel itineraries, and other time-sensitive tasks.
  • Data & Research Collect, assemble, and provide data and information in usable formats as requested. Conduct special research studies and prepare analysis as directed.
  • Emergency Loan Process Management Oversee and manage the emergency loan process for students, ensuring all procedures are followed accurately and in a timely manner.
  • Golden Eagle Award Scholarship Committee Serve as the lead member of the Golden Eagle Award Scholarship Committee, managing the nomination and selection process.
  • Professional Development Manage the professional development and training of the division's administrative assistants, ensuring they have the resources and skills to succeed in their roles.
  • Student Affairs Orientation Design and implement Student Affairs Orientation in alignment with Human Resources policies and procedures.
  • Other Duties as Assigned Perform any other related duties as required to support the Vice President for Student Affairs and the Office of the Vice President.

Rate of Pay $19.76 dollars per hour

  • Knowledge of the organization and administration of various higher education academic and social programs.
  • Knowledge of campus and community resources.
  • Knowledge of state, federal, and campus rules, regulations, and requirements related to campus academic and social programs.
  • Ability to coordinate the activities of campus academic and/or social programs.
  • Ability to evaluate collected information and formulate into recommendations.
  • Ability to compile information into report form.

  • Strong administrative and organizational skills with the ability to handle sensitive and confidential information.
  • Excellent written and verbal communication skills.
  • Ability to manage budgets, conduct research, and prepare detailed reports.
  • Proven ability to coordinate complex schedules and travel logistics.
  • Demonstrated experience in customer service and client relations.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Knowledge of institutional policies, state and federal regulations, and budget management practices.
