Job Description: Administrative Assistant

Position Overview: The Administrative Assistant assists with HR-related tasks and programs, as well as event planning, to ensure smooth operations and effective communication within the organization.

Key Responsibilities:



  • Balfour Buddy Program: Coordinate assignments, track completion, and manage paperwork.
  • New Hire and Transfer Processes: Submit joiners, send notifications, and update start dates.
  • Access and Distribution Management: Handle finance software access requests and manage Outlook distribution lists.
  • Workplace Posters: Prepare, audit, update, and distribute workplace posters to jobsites.
  • Invoice and Storage Management: Process HR-related invoices and maintain HR storage.
  • Administrative Processes: Process various administrative forms and changes. Provides reception back up coverage as needed.
  • Job Fair, College Recruitment and Internship Assistance: Screen resumes, schedule interviews, and manage recruitment events.
  • Reporting and Surveys: Prepare monthly reports and assist with survey creation.
  • Event Planning Assistance: Event planning for division events. Must be able to source and coordinate multiple vendors.


Skills and Qualifications:



  • High school diploma or GED required (Associate's degree a plus) and 2-4 years experience in a general/clerical office setting; commercial construction industry experience preferred.


  • Highly organized and detail oriented.
  • Excellent verbal and written communication skills.
  • Strong problem-solving and time management abilities.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with SmartSheet.

Working Conditions:

The majority of work is completed in the office setting. Not a remote position.

Experience and Knowledge:



  • Uses time effectively based on key priorities; accepts direction from more than one person at a time and oversees multiple projects.
  • Communicates well and create effective customer-focused relationships with all organization levels.
  • Able to write clearly and concisely in a variety of communication settings and styles.
  • Makes decisions under tight deadlines with composure, occasionally with incomplete information.
  • Acts in a manner of integrity that shows support for the company, its values, and the employees, while maintaining constant focus on meeting/exceeding customer requirements and expectations.
  • Strong computer skills in word processing, spreadsheet, scanning, database, and presentation software. Demonstrates proficiency using a personal computer (PC) and company communication tools, such as email, internet, and Microsoft products (e.g., Word, Excel, Office, Outlook).


The base compensation for the Admin Assistant is $55,000 to $62,000.
