Job Summary:

The Waisman Center is dedicated to the advancement of knowledge about human development, developmental disabilities, and neurodegenerative diseases throughout the lifespan. One of 15 centers of its kind in the United States, the Waisman Center encompasses laboratories for biomedical and behavioral research, several scientific research cores, and a clinical biomanufacturing facility for the production of pharmaceuticals for early stage human clinical trials. In addition to its research efforts, the Center provides an array of services to people with developmental disabilities, offers numerous educational and outreach programs to young children and their families, and trains scientists and clinicians who will serve our nation in the future.

This position will work within the Waisman Center University Center for Excellence in Developmental Disabilities (UCEDD). The mission of the UCEDD is to support the full inclusion and self-determination of people with developmental disabilities and their families through: development of personnel qualified to provide services in the health, education and social service systems; provision of services, technical assistance and the dissemination of information; and the contribution of new knowledge about the causes and prevention of developmental disabilities, the impact of disabilities on individuals and families, and the efficacy of assessment, intervention and support methods.

The Administrative Assistant II will provide administrative, technology and fiscal support to the UCEDD Director, UCEDD Associate Director, Leadership Education in Neurodevelopmental Disabilities (LEND) Director, UCEDD core function coordinators, project leads and professional staff.


Responsibilities:
Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision

  • 20% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 20% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • 10% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • 10% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • 20% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • 15% Provide fiscal support to the UCEDD by monitoring accounts, tracking spreadsheets, processing financial transactions, and related work
  • 5% Contributes to the core functions of the UCEDD, including activities of training/teaching, conducting research,
    disseminating evidence and best practices, and demonstrating model services.

Education:

Preferred
Associate's Degree or higher.


Qualifications:

Qualified candidates will have the following required skills and experiences:
- One year of professional experience working in an administrative and/or financial support role.
- Demonstrated ability to exercise sound judgement and to follow established practices and procedures.
- Excellent computer skills, including experience with word processing, creating and maintaining spreadsheets and databases and proficiency with email, internet applications and Microsoft Office Suite.
- Demonstrated understanding of privacy rules, confidentiality and professional discretion.
- Excellent organizational skills, attention to detail and accuracy.
- Ability to multitask and work independently with minimal supervision; demonstrated independent decision-making skills.
- Excellent written and verbal communication skills.
- Demonstrated ability to work as a team member, establish and maintain relationships with management, staff, students, professional partners and outside vendors.
- Knowledge of inventory, ordering and bookkeeping concepts and procedures.

Well-qualified candidates will also have the following preferred skills and experience:
- Ability to function in a fast-paced, stimulating, and challenging office environment, including the ability to organize, prioritize, and complete a variety of tasks and projects in a complete, accurate, timely, and independent matter.
- Excellent interpersonal skills including the ability to communicate with all persons with a wide range of abilities and backgrounds. This includes but is not limited to the general public, students, staff, and collaborating partners.
- Ability to triage inquiries and receive/dispense a variety of information related to program activities.

Schedule will be determined at time of hire.

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.

Salary:

Minimum $20.00 HOURLY

Additional Information:

Must complete HIPAA training and received certification within the first 5 days of employment and annually thereafter.

Reporting requirements must be completed in a timely manner, including but not limited to effort reporting and outside activities reporting.
