Academic Program Manager

The primary role of this Academic Program Manager position is to serve as a member of the management team of the Laboratory for Computational Sensing and Robotics (LCSR) with responsibility for the academic administration office and academic initiatives, including primary responsibility for the Masters of Science in Engineering in Robotics program (Robotics MSE), the Robotics minor and the Computer-Integrated Surgery minor. This includes management of the graduate program, advising, curriculum development, and policy compliance.

Specific Duties & Responsibilities


Program Management (30%)

  • Responsible for the overall management of the Robotics MSE academic program, and two Undergraduate minors.
  • Manage the recruitment of Robotics MSE applicants and the admissions process for enrolling students, including but not limited to,
    • Direct the application process for MSE students and maintain databases, create statistical reports for the admissions goals, evaluate applications for admission viability and recommend applicants for acceptance.
    • Contributing member of the application review committee. Provide application evaluations for both admissions' consideration and scholarship consideration.
    • Manage enrollment process including writing departmental offer letters, facilitating enrollment documents pertaining to international students in compliance with laws and regulations through the Office of International Services (OIS)
    • Advise, support, and provide information to new students regarding housing, transportation, registration, campus services, etc.
  • Manage the enrollment of the Robotics Minor and Computer-Integrated Surgery Minor undergraduate programs.
    • Advise and track student progress toward completion of the UG minor programs.
  • Manage and ensure departmental best practices for academic information, records, and data of all MSE program information.
  • Contributes to the annual operating budget in collaboration with the Robotics MSE Director of Education and LCSR Administrator in providing admissions data.
  • Supervise the Senior Academic Coordinator and Sr. Administrative Coordinator.
  • Oversee Academic related events for the MSE Program.
  • Collaborate with the Robotics MSE Director of Education to develop industry connections. a
  • Work with Development and Alumni Relations to create a Robotics alumni program.
  • Create and maintain student satisfaction data and course evaluations.


Advising and Policy (30%)

  • Develop short and long-term programmatic strategic plans alongside the Director of Education.
  • Collaborate with LCSR leadership to develop academic program-wide procedures and protocols as well as implement and oversee the program's strategic plan and objectives.
  • Primary advisor for Robotics MSE students regarding course and degree requirements.
  • Co-advise undergraduate students and monitor curriculum checklists.
  • Counsel faculty and students on university academic policies and procedures and make recommendations on academic matters.
  • Ensure MHEC requirement compliance through program degree confirmation.
  • Collaborate with the LCSR Curriculum Committees (undergraduate and graduate) to analyze core courses and facilitate change as needed.
  • Advise the Office of the Dean of Student Life, WSE Office of Academic Affairs, and other divisions on student and academic issues such as,
    • Disciplinary actions
    • Non-standard academic requests
    • Misconduct
    • Grievances

Strategic Development (10%) The current thrust is below, and additional aims as identified. This is usually one to two strategic projects each year.

  • Collaborate with the Robotics MSE Director of Education to design, develop, and market the MSE program.
    • Create curriculum that will prepare MSE students for careers in robotics.
    • Design coursework outlines and approves courses that will meet degree requirements.
    • Devise course guidelines and program structure.
    • Recommend curriculum plans to Graduate Academic Affairs
    • Review course evaluations and recommend changes based on those evaluations.
    • Recommend program changes based on student feedback.

    External Relationships (10%)

    • Primary liaison between Registrar's Office and Office of Graduate Academic Affairs to disseminate information, develop course offerings, track students, and maintain up-to-date information for the catalog and all advising materials.
    • Collaborate with WSE Development, WSE Advising, Student Accounts, Student Employment, Health and Wellness, Counseling Center, Shared Services, and other Homewood offices to resolve student (undergraduate and graduate) issues including finances, registration, well-being, and university policy compliance.
    • Disseminate career advice/information for graduating students through partnerships with Life Design Lab as well as outside companies.
    • Participate in the WSE Graduate Program Administrators and Coordinators Council (WSE-GPACC). Collaborate with Graduate Academic Affairs to analyze policies and to recommend changes as needed.


    Finance (10%)

    • Work collaboratively with faculty and financial staff to ensure the accurate and appropriate allocation of funds for student stipends, tuition, and health insurance coverage.
    • Process Department Payroll such as New Hires, and ISRs.
    • Manage expenses related to student Organizations (Graduate Student Association, and other academic center events.
    • Advise and assist with resolving budget variances.
    • Proactively advise Administrator on account variances.


    Operational Duties (5%)

    • Responsible for compliance with the academic program, university requirements, and WSE standards.
    • Recommend and implement new policies and/or update existing policies.
    • Serve on various committees regarding improvement to academic-related policies and processes.
    • Co-manage graduate and undergraduate email lists.
    • Complete surveys, research statistics, etc. for WSE Academic Affairs office.


    Department Marketing & Student Recruitment (5%)

    • Make recommendations concerning marketing and outreach initiatives.
    • Attend conferences/seminars for recruitment of graduate students.
    • Collaborate in the development of processes for student recruitment and marketing efforts for the academic program, which includes but is not limited to drafting or creating simple/routine announcements, advertisements, postings, and flyers; and creating agendas and timelines for faculty expectations.
    • Other duties as assigned.


    Minimum Qualifications
    • Master's or Ph.D. in education or specific field related to program.
    • Five year's experience in all aspects of academic program administration. Supervisory experience preferred.
    • Additional experience may substitute for education, to the extent permitted by the JHU equivalency formula.

    The referenced base salary range represents the low and high end of Johns Hopkins University's salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education/training and other qualifications.     Education and Experience Equivalency
    Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
