About this role:

As a Sr Manager for Research and Advisory Conferences and events, you will be responsible for the seamless execution and delivery of approximately 40 in-person and 600 virtual events per year. You will be responsible for the overall forecast, budget and expenditure along with all planning and delivery elements, vendor and venue management, stakeholder management, staffing and be expected to identify and drive process and experience improvements that help the team scale and deliver a large volume of events with medium to low complexity.

You will lead of global team of ten and have experience in developing teams with clear progression plans and identify opportunities for further growth and development. You will build out robust onboarding documents and plans and ensure the successful implementation.

You will use feedback scores to translate the needs of our audience and build firm partnerships across the organization to leverage best practices and drive results.

Primary responsibilities:

  • Flawless delivery of The Research & Advisory (R&A) Conferences portfolio of virtual (approx. 600) and in person (approx. 40) meetings
    • Oversee operational delivery of all logistics elements across in-person conferences and virtual meetings
    • Oversee the operational delivery of virtual meetings from start to finish including; registration set-up and management, coordination with internal stakeholders on delivery specifications, and day-of execution.
    • Project management including the ownership and adherence of timelines and templates to accurately deliver.
    • Venue management including but not limited to rooms, meeting facilities, F&B, A/V production.
    • Lead team staffing, including identifying enhancement opportunities, such as event briefings
    • Constantly evaluate the experience, feedback and results then implement changes accordingly.
    • Create detailed post-event analysis reports and event de-briefs for review with manager/stakeholders.
  • Drive operations strategy in partnership with COEs and stakeholders
    • Ensure that decision making and recommendations align with corporate strategy and objectives
    • Drive consistency and innovation across the portfolio (in deliverable and approach)
    • Strengthen partnerships with internal COE'sto identify operational efficiencies and alignment
    • Identify operational efficiencies in tools and processes to drive further scale across a large volume of virtual and in-person meetings.
  • Deliver for today while preparing for the future, including team leadership
    • Clearly understand and translate the needs of the audience
    • Champion change and drive creative solutions
    • Build out robust onboarding programs and team progression planning
    • Manage the full R&A events calendar creation in partnership with stakeholders
  • Overall responsibility for conference budgets including preparation, negotiations, accurate and timely monthly forecasts.
    • Partner with financial planning team on overall budget health and managing risk.
    • Create and manage the entire R&A Annual expense budget, approx. $1.5mil
    • Manage and cultivate key vendor relationships
    • Negotiate with vendors as needed and map out future venue sourcing strategy and improvements that could lead to cost savings and efficiency.

  • New processes discovery and implementation that will improve operational efficiency of the team
  • Team leadership: ensure the team have clear roles and responsibilities, with clear development planning and opportunities
  • Achieve operational excellence and execute conferences on time, within budget and with great attention to detail.
  • Build and maintain excellent working relationships, both internally and externally

What you'll need:

  • 8+ Years Event Management experience
  • Proven team management experience
  • Proven event operational skills including production schedules, budget management and event staffing
  • Project management experience within virtual and in-person events
  • Proven experience in managing vendor partners and contracts

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 79,000 USD - 123,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
