About the Job

General Description:
The Application Processing Specialist is responsible for coordinating the entry, coordination and processing of all applications for the Office of Admissions. This position reports to the Director of Admissions. This role will include: interacting with the admissions staff, offices across campus, student employees and prospective students and families, providing administrative assistance for the office and performing other related administrative duties. The Application Processing Specialist is a critical position in the office, as the overall success of the office depends on someone who is detail oriented, efficient and flexible during the peaks in processing time.

Duties:
Coordination and Entry into Administrative Systems (60%)

  • Enter application data from prospective student applications into Perceptive Content, PeopleSoft or other administrative systems.
  • Monitor automated processes to ensure all systems are working.
  • Determine and request all information needed to complete an application for admission.
  • Manage and work with excess of 50 workflow queues.
  • Scan and index all physical documents to Perceptive Content
  • Electronically procure transcripts and other materials from online systems
  • Train and oversee student staff in the work to accomplish all data entry and tracking all entries into PeopleSoft and Perceptive Content.
  • Assist in annual admissions application updates and testing

Generate Communication of Admission Decisions (20%)

  • Create and print letters or emails generated from PeopleSoft or other administrative systems.
  • Ensure correct communications are being generated and mailed.
  • Organize processes with involvement of student staff to ensure that process happens in a timely manner to meet daily deadlines.

Account Maintenance (10%)

  • Ensure timely deposit of application and deposit fees into appropriate account.
  • Post appropriate charges to student financial accounts in PeopleSoft.

Office Support (10%)

  • Provide secondary backup for incoming phone line to campus. Organize inventory and supplies required for the admission process. Contact service contractors for office machinery, and perform all necessary office functions as they relate to the needs of the office.
  • Backend support of new student summer registration
  • Ensure a neat and professional work area for the Office of Admissions.
  • Sort and open all mail that arrives in the Office of Admissions
  • As needed, assist in the data entry of inquiries upon their arrival in the Office of Admissions.
  • Perform other duties as assigned by the Director of Admissions to ensure a satisfactory and professional work environment and to be responsive to requests by the office staff for an effective and efficient operation.
Qualifications

Required Qualifications:

  • BA/BS or a combination of related education and work experience to equal four years

Preferred Qualifications:

  • 1-3 years of related work experience
  • Excellent multi-tasking and organizational skills
  • Excellent attention to detail
  • Excellent interpersonal and customer service skills
  • Excellent oral and written communication and correspondence skills including good grammar, editing, etc.
  • Self-initiator and critical thinker
  • Proficient computer literacy skills including experience with email software, Excel, Word, the Web, etc.
  • Experience with extensive data entry into an administrative system.
  • Experience managing and leveraging student employees in administrative work.
  • Experience interpreting academic transcripts and documents from U.S. institutions and/or international transcripts and documents.
  • Experience using PeopleSoft and Perceptive Content (Image Now) software
  • Ability to work autonomously as well as collaboratively
Pay and Benefits

Pay Range: $20.01-21.50 per hour; depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
