Primary Duties and Responsibilities:
The Director of Enrollment Systems and CRM Compliance is a key leadership role responsible for managing and optimizing enrollment-related systems, with a primary focus on Ellucian Recruit CRM, Ellucian Colleague, Ellucian Experience, Tableau, Business Objects, and AMSA SAFE fraud detection software. This position ensures the effective operation of College of DuPage's enrollment technologies that support the institution's enrollment and admissions goals while maintaining compliance with institutional policies and regulatory requirements. The role collaborates closely with stakeholders across Enrollment Management, Marketing, Financial Aid, and other departments to drive data-driven decision-making, safeguard data integrity, and improve the student experience.

  • Serve as the departmental lead for the Ellucian Recruit CRM and other Ellucian products, including Colleague, SoftDocs, AMSA SAFE, Tableau, and SAP Business Objects Web Intelligence.
  • Oversee the configuration, customization, and maintenance of CRM Recruit and Colleague ERP to enhance operational efficiency and user experience.
  • Ensure the integrity, security, and accuracy of enrollment data within the CRM and associated systems.
  • Utilize AMSA SAFE fraud detection software to monitor and mitigate risks associated with enrollment processes.
  • Ensure enrollment operations and CRM processes comply with institutional policies, FERPA, and other regulatory requirements.
  • Oversee all aspects of the enrollment operations team including budget management, policy compliance and data integrity, ensuring consistent and fraud adverse admissions process.
  • Partner with Information Technology team and provide direction on system evaluations and modifications and serve as decision maker for system upgrades and implementations.
  • Assess system enhancements for Ellucian Recruit, Ellucian Colleague, AMSA SAFE and other IT systems and make recommendations to the Executive Director.
  • Collaborate with the Institutional Research team to design and develop reports that assess the effectiveness of enrollment strategies and provide actionable insights.
  • Collaborate with departments such as Marketing, Financial Aid, Registration, and International Services to ensure seamless student matriculation and an integrated enrollment experience.
  • Analyze enrollment trends and recommend innovative strategies to optimize recruitment and admissions efforts.
  • Collaborate with various student affairs departments (Financial Aid, Records, Registration, and International Services) to assist with student matriculation and maintain compliance of established policies and procedures.
  • Ensure the efficiency of admission procedures by developing and maintaining CRM Recruit manuals for admission system users and coordinate informational updates.
  • Partner with senior leadership to set and monitor enrollment targets, leveraging data-driven decision-making to inform strategies.
  • Lead the cleansing, uploading and de-duplicating process for all prospective students and applicants in CRM- Ellucian Recruit.
  • Technology liaison for ATAC (Administrative Technology Advisory Committee) at College of DuPage.
  • Serve as CRM Administrator for Ellucian Recruit, including, but not limited to upgrades, implementation of new features and business processes, overseeing data management and integrity, assisting with functional, user, and administrative training.
  • Point of contact for CRM Ellucian Recruit & Colleague Integration issues, New Process requests, problem reports and security role.
  • Streamline business processes between end users and IT programmers to ensure effective and proper use CRM Ellucian Recruit.


  • Qualifications:

    • Education
      • Bachelors degree in related field required.
      • Master's degree in Higher Education Administration, Information Technology, Data Analytics or related field required.
    • Experience
      • Minimum four (4) years' experience in working in supervisor capacity within higher education, business, operations or related field required; experience with systems operations, database management, and process development related to ERP and CRM systems required. Demonstrated understanding of technology applications that can benefit the recruitment and engagement of students and support other areas of supervision required.
      • Six (6) or more years' experience working in higher education, business, operations or related field, preferably in an admissions or enrollment area preferred; knowledge/experience working with Ellucian Recruit CRM, Salesforce CRM and Colleague preferred.
      • Proficiency in utilizing technology and data systems, including CRM platforms, for operational and strategic purposes.
      • Strong analytical and problem-solving abilities, with a focus on innovation and continuous improvement.

  • Various office applications including Microsoft Office.
  • High volume at times with frequent interruptions.
  • Some off-campus travel may be required to perform training or attend conferences/seminars.
  • Occasional evening or weekend work may be required during peak periods or during upgrades/troubleshooting.
  • This position requires a background check and drug screen.
