The AP Expense Specialist performs accounting, administrative and clerical tasks related to the efficient maintenance and process of expense auditing, accounts payable processing and general accounting.
ESSENTIAL DUTIES:
- Audit and process high volumes of fuel and credit card expenses submitted electronically in JD Edwards, Emburse Chrome River or manual paper reports.
- Identify and assess expense trends to inform operations.
- Contact vendors to obtain missing receipts over a set dollar amount.
- Scan or copy expense receipts as required for various expenditures for risk management/fleet and sales tax.
- Review and process invoices, check requests for appropriate documentation, general ledger coding and approval prior to entering them into the accounting system for payment. (Concur and JD Edwards)
- Gathers individually received invoices from field, matches them to consolidated bill, researches and obtains any outstanding invoices and creates payment batch.
- Match purchase order number to expense when received and close purchase order.
- Complete month-end closing processes including running of reports, preparing journal entries and reconciling of accounts.
- Prepare and ensure general ledger journal entries and account reconciliations are completed accurately and timely.
- Assist in month-end close process.
- Maintain a strong internal control environment.
- Produce and provide reports as requested.
- Assist team members as needed.
- Respond to internal and external customer and vendor inquiries.
- Reviews vendor statements and researches and corrects discrepancies.
- Back up for weekly payment selection.
- Maintains accurate, timely and well-organized files.
- Perform other duties as assigned
REQUIRED QUALIFICATIONS:
- Associates degree in business or related or relevant experience
Preferred Qualifications:
- Bachelor's degree preferred; 2-3 years experience preferred.
TECHNOLOGY, EQUIPMENT & TOOLS:
- Proficient with standard office equipment i.e., computer, phones, scanner, fax, and copier.
- Proficient with Microsoft Office programs including Microsoft Excel, Microsoft Word, Microsoft
- Familiarity working within JD Edwards, Concur and Emburse Chrome River.
- Proficient with Adobe Acrobat

COMPENSATION: $21.65 - $29/hour
