Purpose

As an Academic Business Affairs team member, this position oversees the accounting-related administration of outside and designated departmental scholarships, receipt of outside scholarship funds, refunds to student financial aid lenders/donors, and account reconciliations. The manager ensures compliance with university, state, and federal rules; timely processing of checks and payments; and responsive, high-quality customer service.

Responsibilities
  • Manage scholarship accounting team staff including Senior Administrative Associate and Accountant I. Review/approve scholarships (SS1s), payments (VP2s), receivables (VC1s), and other documents generated by staff in a timely manner ensuring accuracy and completeness. Oversee the completion of refunds to lenders and donors. Ensure compliance with scholarship and accounting regulations for department, university, state, and federal rules. Address issues with appropriate offices (OSFA, Accounting, Provost's Office). Direct reporting staff to accurately log and complete check processing. Monitor account balances.
  • Reconcile or oversee the reconciliation of designated scholarship and loan accounts. Direct the return of loan funds. Manage and track the OSFA Direct Loan account, including verifying daily disbursements in DEFINE and COD. Ensure that transactions are accurate and true. Work with OSFA contact to correct errors in a timely manner.
  • Manage email inbox and/or tracking systems. Assign work as needed. Ensure customer and student issues are handled in a timely fashion with focus on high-quality services. Assess procedures and recommend improvements. Maintain process documentation.
  • Assist with special projects as assigned. Provide back up and surge support for scholarship and Academic Business Affairs staff including check and scholarship processes.
  • Other related functions as assigned.
Required Qualifications

Bachelor's Degree in Business Administration, Finance, Accounting, or related field. Three years of experience in finance, accounting, and/or administrative functions and three years of supervisory experience. Proficient in Microsoft Office applications including Excel. Demonstrated ability to exercise sound judgment, tact, and discretion with handling sensitive and confidential information. Experience supervising, training, and motivating staff in a team environment. Outstanding interpersonal, organizational, and communication skills; professional demeanor. Customer-focused and dedicated to providing consistent excellence service. Highest level of professional and personal integrity. Able to handle heavy workload during peak periods.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than the required experience. Knowledge of student financial aid program requirements. Experience with UT Austin accounting systems (e.g., DEFINE, FRMS). Experience or keen interest in business process improvement.

Salary

$65,000 + depending on qualifications

  • This position is located on campus in Austin, Texas. The work schedule is Monday through Friday, from 7:00 AM to 4:00 PM.
