Job Summary Serves as administrative and faculty support to a cohort of residential faculty, multiple academic administrators, and instructional coordinators. The Administrative Associate Coordinator is primarily responsible for planning, organizing, coordinating, or overseeing a variety of moderately complex and varied general and administrative office support functions that are essential to the work of assigned academic leaders. This position will also be responsible for liaising with other departments, calendar and meeting support, event organization, ordering supplies, data entry, travel arrangements, scheduling, and filing/archiving. This position may guide lower level staff by providing work direction. Additionally, this position greets visitors and responds to inquiries (both internal and external). This person should demonstrate attention to details and tasks, organization, effective time management and communication (written and verbal), and willingness to learn and be creative. This position reports directly to the Vice President of Academic Affairs. Essential Functions 35% - Provides high level administrative support to a cohort of residential faculty, multiple academic administrators, and instructional coordinators. The Administrative Associate Coordinator is primarily responsible for planning, organizing, coordinating, or overseeing a variety of moderately complex and varied general and administrative office support functions that are essential to the work of assigned academic leaders. This work includes supporting faculty development in the training and recognition of adjunct faculty. 20% - Assists with projects and activities, such as special events, workshops, faculty evaluations and meetings; participates with faculty and other staff in planning departmental activities; coordinates calendars and arranges meetings and travel for faculty, acts as liaison with other Rio and District departments and outside organizations. 20% - Prepares and/or edits departmental narrative or statistical reports, presentations, schedules, handbooks and promotional materials; processes and monitors FMS requests and reports for various services, programs, supplies, mail, activities, official functions, etc.; maintains office supplies and equipment. 15% - Responds to inquiries requiring a detailed knowledge of policies and procedures regarding the College and Administrative Office; provide technology and administrative support for faculty and college meetings; provides research on special projects; takes minutes, and provides front desk reception. 10% - Provides work direction and attends departmental, college and/or district meetings/trainings; performs other related duties as assigned. Minimum Qualifications Associate's Degree from a regionally accredited institution and three years of administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications A. Bachelors Degree from a regionally accredited institution B. Experience coordinating special projects, events, calendar scheduling, and meeting assistance (to include taking minutes) C. Experience providing proficient technology support with various technologies/systems D. Experience working in a collaborative team environment and establishing cooperative working relationships E. Experience obtaining direction from multiple directors/managers/coordinators F. Experience working in a post-secondary institution Special Working Conditions Travel to campus during interview/selection process will be at candidate's own expense. Will be required to travel or be assigned to all MCCCD locations. May require numerous evenings or weekends. May require prolonged periods of viewing a computer screen.
