Job Summary

Works directly with the office of Budget and Operations of the College of Arts, Sciences & Education (CASE), Dean's office. Participates in the preparation of the annual budget and the allocation of operating funds within the college. Serves as the liaison for assigned centers, departments, and institute within the College.

  • Assists in the preparation of the annual operating budget and forecast. Enters data in the financial system.
  • Coordinates and provides support to chairs, directors, faculty members and staff on all post award fiscal and administrative functions related to Contracts and Grants for the departments within the College.
  • Serves as liaison to the Office of Research and Economic Development (ORED) to provide guidance and assistance related to grants administration to all CASE departments. Works with principal investigators and grant support staff on the fiscal and administrative oversight of accounts associated with ORED sponsored research projects and FIU Foundation donor research-related projects.
  • Coordinates with ORED to ensure that CASE Cost Share commitments are properly established. Monitors CASE Cost Share commitments to ensure they are being accurately met and confirm the proper use of Educational & General funds (E&G) committed to cost sharing.
  • Monitors the Time and Effort Certification process within the College. Works with CASE departmental Effort Coordinators to ensure timeliness and accuracy in the Time an Effort Certification and Reporting Technology process (ECRT). Provides guidance and support to principal investigators, effort coordinators and support staff to resolve discrepancies in a timely manner. May serve as the Effort Coordinator for the Office of the Dean and/or for other departments within the college if needed.
  • Assists in processing Course Buy Outs for all CASE departments. Reviews requests to ensure CASE Buy Out policy is being followed, and research projects being used are active and have the available budget lines to properly cover the buy outs.
  • Provides chairs and directors with financial reports on a quarterly basis or as needed. Schedules quarterly meetings with them to review the spending and to recommend actions as needed.
  • Serves as a resource for the departments by providing assistance to faculty and staff with cost analysis and fiscal allocation. Consults with departments regarding budget analysis, financial reports, projections, reconciliations, irregular or unusual transactions, and problem resolutions.
  • Trains and oversees staff members within the college to ensure accuracy and efficiency in end work product. Provides general guidance to ensure all transactions follow federal and state regulations, and University guidelines, policies and procedures.
  • Serves as the University's credit card approver for the director's office. Assures compliance and adherence to university credit card policies and procedures.
  • Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
  • Performs accounting functions to include reporting, analysis, reconciliation, and budgetary projections for all funds including E&G, Auxiliary, Grants and Foundation.
  • May supervise lower-level staff.
Minimum Qualifications

Bachelor's degree in a related field and five (5) years of related experience or Master's degree and three (3) years of related experience.
