The University of Colorado Denver, Anschutz Medical Campus is currently seeking applications for a Grants Specialist for the Department of Otolaryngology - Head & Neck Surgery. This full-time, University Staff position is responsible for executing research-related tasks and act as a primary point of contact for all Postaward activities. This role will be responsible for managing, developing, implementing, and providing oversight of Postaward grant functions for the Department's research faculty, postdoc fellows, graduate students, and residents. This position will also manage research support activities for AEF, DEF, gift, and other auxiliary funds for the Department's research faculty. This position will oversee the financials of all the laboratories in the Department and will be highly accountable for the financial wellness of all the labs. Furthermore, this position will serve as a liaison between the Department and the Pre-Award Shared Services (PASS) group as well as oversee the Preaward functions for the Department's training grants. This position will work independently, as well as interact with a diverse group of professionals and research faculty, in an evolving professional environment to effectively contribute to the growth and accomplishment of departmental goals. It is expected that these duties and responsibilities are performed at an advanced (Sr. Professional) to expert level (Principal Professional) level, and that this position has complete responsibility and accountability for all departmental processes that involve Postaward grant management. This position will be fully remote and adhere to regular business hours for Mountain Standard/Daylight Time. There may be occasion for some in-person meetings and or projects. In-person work will take place in the Department of Otolaryngology, on the Anschutz Medical Campus. Supervision Received This position will report to and assist the Research Program Director Supervision Performed None Examples of Work Performed Pre-Award - All Levels
- As needed, liaise with research faculty and the Pre-Award Shared Services (PASS) on proposal development, budgets, RPPR/progress reports, amendments, Just-in-times (JIT), and routings
- Work with research and clinical faculty to complete Conflict of Interest (COI) disclosures in timely manor
- Assist faculty with setting up eRA Commons account
- Administer the department's NIH training grant (T32 and R25)
- Assist with proposal development (budgets, biosketches, application forms, etc.)
- Routing T32 and R25 grant proposals for review and submission (InfoEd)
- Assist the PI with RPPRs including routing
- Preparation of tables
- Track T32/R25 trainees (e.g. start dates, stipend levels, termination dates, etc.)
- Provide administrative assistance in collecting required information for appointments, terminations, and maintenance of trainee data for annual reporting and required tables for new or renewal applications
- Ensure correct form-sets are used in all attachments and documents are complete
- Assist with eRA Commons transactions for trainees and tracking
- xTrain - trainee management (appointments, terminations, amendments)
- xTract-tables for RPPR/renewal
- Able to train and advise on T32/R25 policies
Post-Award - All Levels
- Review notice of grant award/contract award with PI making note of any special terms and conditions
- Work with OGC Award set-ups to accurately set up the awarded budget
- Confirm budget is set up correctly in finance system according to the award document
- Request for the creation of new account numbers appropriate to funding source and activity
- Monitor and follow-up on expiring grants and contracts to ensure renewals/amendments are in place or pre-award accounts are established in time to prevent salaries from hitting the finance suspense account
- Analyze and evaluate awarded proposals and contracts, which may include subcontracts, for compliance with funding agency, federal, state, and university requirements. Prepares documentation for the Office of Grants and Contracts (OGC) to draft subcontracts; monitors contract execution, account set-up, invoicing and compliance
- Work with PI and OGC to re-budget grants as needed
- Create standing purchase orders for outgoing subcontracts
- Process subcontract amendments
- Facilitate and track the submission of payment of invoices for subcontracts in a accordance with the agreement
- Notify PI of contractual issues and potential problems
- Work directly with subcontractor, PI, and OGC Post-Award to resolve issues
- Reconcile grant, AEF, and gift accounts monthly and review transactions for appropriateness
- Enter and initiate cost transfers-Journal Entries (JEs) and Payroll Expense Transfers (PETs) in compliance with internal and external policies and procedures
- Work with PIs to provide appropriate explanation, justification, and documentation for cost transfers
- Meet regularly with PIs to review budgets, discuss accuracy of expenditures, and implement changes as required
- Provide monthly financial reports and projections to PI's on all sponsored speedtypes and start-up/research support accounts
- Assist PIs with questions and issues related to allowable and allocable expenditures on grant funds; provide guidance and options for spending as necessary
- Update funding distribution for research faculty and grant/lab personnel
- Create requisitions/POs in Marketplace for research faculty purchases
- Investigate and resolve purchasing and payment issues as they arise
- Monitor billing and accounts receivable
- Monitor budget and cash balances
- Complete all applicable forms and requests to sponsor and OGC
- Establish strong relationships with OGC
- Process grant account close-outs
- Other related duties as assigned by the Research Program Director
Post-Award - Principal Professional
- Initiate and submit Prior Approval requests to federal sponsors in accordance with University and federal processes and policies
- Manage post-award and financials for clinical research studies (industry sponsors and clinical trials)
- Work with financial coordinator and CRC team for billing and payment transactions
- Reconcile clinical research speedtypes monthly
- Create various ad hoc financial reports for sponsored projects
- As needed, serve as backup to Fiscal Coordinator (approving Marketplace carts, creating requisitions/POs, initiating cost transactions, etc).
- Instruct and train department faculty and staff on grant processes, procedures, and policies
- Provide expert level guidance and direction to PIs and the department regarding sponsored projects

Qualifications:

Minimum Qualifications: Senior Professional:
- BS/BA degree from an accredited institution and 2 year of professional level experience with sponsored research
Principal Professional:
- BS/BA degree from an accredited institution and 4 year of professional level experience with sponsored research
Substitution: A combination of education and directly related professional experience may be substituted for the bachelor's degree on a year for year basis. Applicants must be authorized to work in the United States and meet minimum qualifications at the time of hire. Preferred Qualifications:
- At least 5 years or more years of advanced or expert level experience with Postaward grants and contracts management
- Experience working with federal grants
- Experience with financial forecasting and budget analysis
- Experience in providing professional and technical assistance to faculty, staff, and students within higher education and/or medical education environment
- Experience working with University finance and federal systems and software (m-Fin, HCM, Marketplace, InfoEd, eRA Commons)
Knowledge, Skills and Abilities:
- Must be very detailed-oriented and have strong quantitative skills
- Intermediate-level skills in Microsoft Excel
- Strong written and verbal communication skills
- Effective interpersonal skills and ability to maintain positive working relationships

The starting salary range (or hiring range) for this position has been established as: Senior Level: Hiring salary has been established as $55,117 - $70,109. Principal Level: Hiring salary has been established at $63,385 - $80,626. The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
