About the School of Civil and Environmental Engineering at the Georgia Institute of Technology

The School of Civil and Environmental Engineering Program at the Georgia Institute of Technology is a vibrant and intellectually diverse School with people who are using new technologies to expand the notion of what it means to be civil and environmental engineers in the 21st Century. Celebrating 126 years this academic year, we teach our students the engineering fundamentals they need to be successful at the interface of the built and the natural worlds. Our program is focused on learning how to think, how to solve problems, and how to impact society. We provide rigorous learning environments, out-of-the-classroom and overseas experiences challenging our students to reach their highest potential. The Grants Administrator position in the School of Civil and Environmental Engineering (CEE) will support all of the CEE faculty and coordinate with the Office of Sponsored Programs (OSP) to submit sponsored research proposals and award modifications to sponsors. The grants admin will analyze the proposals for sponsor's requirements before routing to OSP for official submission to the sponsor. The position helps faculty prepare a budget and review the budget for accuracy using Georgia Tech defined rates, working closely with the CEE Business Office team to verify and approve the budget. If required by the sponsor, the position submits cost share requests to the Institute for approval. The position is responsible for following up with OSP and CEE faculty to ensure proposals are submitted prior to the deadlines and grant modification are submitted timely. The position may coordinate the proposal with other schools and departments when faculty are collaborating outside of CEE. The position assists the faculty with gathering information from subawards and other external collaborators.

CEE submits proposal to a variety of sponsors, including most all federal and state agencies, as well as private industry, and various public and private foundations. An average of 150-175 proposals submitted each year. The position would be supporting about 75 faculty with their proposal submissions.

A solid knowledge of the federal circulars and uniform requirements is expected as well as familiarity with sponsors proposal systems such as grants.gov, cayuse, research.gov, etc. would be useful.

Job Summary

The Grants Administrator is responsible for overseeing the administration of grant funding processes, including proposal development, budget preparation, and compliance with funding agency regulations. This role ensures that all financial activities related to grants are conducted accurately and efficiently, providing support to researchers and faculty throughout the grant lifecycle.

Responsibilities

Job Duty 1 -
Oversee the grant application process by ensuring all proposals are completed accurately and submitted by established deadlines.

Job Duty 2 -
Develop and manage budgets for grant proposals, ensuring alignment with funding agency guidelines and institutional policies.

Job Duty 3 -
Review and analyze grant contracts to ensure compliance with terms and conditions set by funding agencies.

Job Duty 4 -
Monitor grant expenditures and financial reporting to ensure adherence to budgetary limits and funding regulations.

Job Duty 5 -
Provide guidance and support to faculty and researchers in understanding grant management processes and requirements.

Job Duty 6 -
Prepare and submit financial reports to funding agencies, ensuring timely and accurate reporting of grant-related financial activities.

Job Duty 7 -
Conduct training sessions and workshops for staff and researchers on best practices in grant management and compliance.

Job Duty 8 -
Stay informed about changes in grant regulations and funding opportunities to advise the organization on potential impacts and strategies.

Job Duty 9 -
Collaborate with various departments to facilitate effective communication and coordination regarding grant-related activities.

Job Duty 10 -
Perform other job-related duties as assigned.

Required Qualifications

Educational Requirements: Bachelor's Degree in related discipline or equivalent, related experience. Advanced certification may be preferred or required.

Required Experience: Six or more years of relevant experience.

Preferred Qualifications

  • Knowledge of Research.gov.
  • Knowledge of Cayuse (cloud-based research administrative software).
  • Advance Microsoft Excel skills.
  • Detail-oriented with strong organizational skills to manage multiple proposals simultaneously.
  • Must be highly proactive, with the ability to distinguish between high and low priority tasks.

Salary range: $74,000.00 - $84,000.00

Other Information

The successful candidate for this position will be responsible for the following:

  • Assisting faculty and staff in the development of budgets and budget justification for proposal preparation, which includes proofing the budget for inconsistencies and ensuring accuracy.
  • Monitoring and facilitating the routing of grant proposals in compliance with university procedures and institutional signatures.
