Position Overview:
System High Corporation delivers the most advanced protection and secrecy solutions to secure and strengthen critical missions, programs, operations, and intelligence activities. We are seeking an Operations Specialist to join our corporate team to help contribute to our success and help us solve problems with innovation through intelligence. The Operations Specialist will support System High Senior Program Managers within the operations organizational structure and provide critical administrative support to all assigned contracts, projects, and programs. The Operations Specialist contributes to the overall organizational success by ensuring key stakeholders meet mission essential contractual and organizational requirements, goals, and objectives. The Operations Specialist reports to the Executive Vice President, Operations and Growth. This position is a non-supervisory position; however, assists in interactions with Site Leads as appropriate. Duties & Responsibilities (but not limited to)
- Assist Senior Program Managers and provide administrative support for all aspects of contract execution including by not limited to staffing, employee and customer relations, financial execution, growth, and innovation
- Assist Senior Program Managers and provide administrative support to gain experience with Firm Fixed Price, Cost Plus, and Time & Materials contracts
- Assist the Executive Vice President, Operations and Growth and Senior Program Managers to develop and present monthly or quarterly comprehensive Program Management Reviews to customers and/or corporate leadership
- Provide administrative support and collaborate with other departments to identify requirements and implement standardized processes, policies, and procedures to increase efficiency across the organization
- Provide administrative support and assistance to other departments on operational and procedural issues as they arise
- Provide expertise and administrative support for special projects improving operational performance as assigned
- Work closely with the talent acquisition team for timely review and submission of all candidates; acts as staffing effort lead/liaison between talent management and partner organization
- Monitor contract positions daily and provide updates to the Prime through the PM
- Coordinate all incoming hires, transfers/promotions, and terminations
- Maintain detailed records and trackers for all contract personnel and staffing data
- Manage and maintain appropriate documentation of required certifications, training, and professional development
- Work closely and assist the Senior Program Manager with employee morale and engagement activities
- Assist the Senior Program Manager with monitoring timesheets and ensuring timely approvals
- Manage travel approvals and expense report tracking, monitoring, and processing
- Collaborate with the Senior Program Manager on employment offers, onboarding, etc.
- Obtain and maintain access to customer/partner system and databases to ensure timely submission of candidates and other administrative functions
- Assist the Senior Program Manager with human relations issues as necessary
- Author and deliver weekly/Bi-weekly communications with team members
- Collect, organize, and distribute staffing data for the Senior Program Manager to make contract-specific decisions relative to current operations and future growth
- Support to the Senior Program Manager overseeing Incentive Fee planning and management
- Support to the Senior Program Manager and Finance to monitor budgets, ceilings, etc.
- Review and update information for Quarterly Management Reviews
- Communicate and collaborate on a continuing basis with partner organizations, such as contracts, resource managers, hiring managers, and regional managers
- Provide recommendations and expertise on various contract activities and processes/procedures
- Support to the Senior Program Manager on tracking contract-specific metrics
- Local travel and CONUS travel as needed
Qualifications
Qualifications/Skills
- Strong analytical, problem solving, and critical thinking skills
- Experience leading projects from planning to execution within mid to large complex organizations
- Strong knowledge of business process analysis, design, and optimization
- Ability to interface with key stakeholders at all levels and develop productive working relationships to achieve performance objectives
- Energetic, resourceful, driven, and have the personal ownership to thrive in an unstructured environment
- Demonstrated record of high performance and success
- Professional experience in data modeling, analysis, and visualization is highly desired
- Independent self-starter, proactive, professional, and assertive
- Excellent organizational skills with the ability to manage multiple projects simultaneously
- Strong communication and interpersonal skills; verbal and written
- Demonstrate a high level of professional confidentiality
- Available to work before/after typical office hours as requirements demand
- Strong proficiency in common office software, such as Excel, is required
Clearance
- Top Secret desired, but not required
- Subject to CI Polygraph based on random program requirements
Years of Experience/Education Requirements
- Bachelor's Degree or a minimum of 4 years applicable work experience
