Seasonal (32 hours/week, Thursday thru Sunday, March through November)

On-site at the Highlights Foundation Retreat Center, Milanville, PA

The Highlights Foundation began in 1985, with the goal of improving the quality of books for children through craft workshops for writers and illustrators. Today, the Highlights Foundation positively impacts children by amplifying the voices of storytellers who inform, educate, and inspire children to become their best selves. We live this mission daily by supporting writers and artists across the globe who bring stories to kids, with opportunities to hone their craft, learn more about navigating the publishing industry, and build community. The Highlights Foundation hosts programs and retreats year-round both online and in person at our own rural retreat center near the Highlights editorial office in Honesdale, Pennsylvania on the traditional lands of the Lenape people.

The Highlights Foundation mission and activities are supported by the successful operation of its campus facility, the careful execution of programs and events, and the high-quality support we offer to our guests. Our community of students, faculty, donors, partners, staff, and volunteers contribute to the culture and climate that make this organization unique. We are seeking a seasonal Campus Coordinator who will ensure the successful delivery of programs and guest experience throughout our organization's high season.

Position Summary

The Campus Coordinator will report to the Campus Manager. The Coordinator will play a pivotal role collaborating across our in-person and online teams to bring an excellent level of service to all our guests, students, faculty, and visitors. This role will represent a cross-over of hospitality and operations and will find support from (and offer support to) many different teams at the organization. The Coordinator will be expected to develop a deep understanding of campus day-to-day activities and inner workings so they can be best suited to offer support to both guests and other teams. The role is also responsible for understanding and having a firm grasp on our retreat management software in order to manage reservations, billing, and guest information.

With training, the Campus Coordinator will be expected to:

  • Understand the programming calendar and the needs required for different types of programs/events that we host on our campus
  • Have a willingness to learn new tools and technologies in order to work collaboratively with different teams at the organization
  • Understand key aspects of our campus experience: dining schedule, accommodations, bookstore, amenities and available facilities, property and trails, etc.

Essential Duties and Responsibilities:

  • Along with Campus Manager, act as the greeter for all incoming arrivals, whether they are individuals or groups

o Meet specifically with Retreat Assistants and Retreat Organizers when they arrive to

make sure they have what they need, and know how to use facilities and AV equipment o Give tours as necessary

o Assist guests with luggage or housekeeping needs, if requested

  • Be the key point of contact (in addition to the Campus Manager & hospitality team) for guest needs during your time on campus, offering high-quality customer service through multiple channels
  • Assist the Campus Manager with any travel logistics for faculty and/or partners
  • Prepare for guest arrivals: create name tags and lodging signs for all arriving guests on a weekly basis
  • Develop a thorough understanding of the program calendar and the needs required for different ttypes of programs and events that we host on our campus

Qualifications

  • Ability to interact with guests-having a good attitude and being open to listening to needs and finding solutions
  • Ability to interact with and collaborate with staff, both remote and in person
  • Curiosity is helpful in this role, as there is so much to learn and do
  • Flexibility and adaptability are crucial-if you thrive while multi-tasking and wearing different hats, then this role is for you
  • Administrative and technical skills to use software related to the job (and a willingness to learn new tools and platforms)

  • Zendesk (email support)
  • Go To (VOIP phone system)
  • Microsoft Teams & OneDrive
  • Zoom
  • Campus AV hardware: TV projection, connected sound system, webcams, etc.

Education and Experience:

Experience in hospitality, hotel, or retreat guest services is preferable. Other relevant experience, such as food service, retail, or telecommunications, could all easily translate for people looking to shift careers. If you are a people-person and willing to learn, we will train the right person.
