Departmental Overview

Summer Sessions, Study Abroad, Lifelong Learning & University Extension (SSALLEX) is the extended education division of the University of California, Berkeley and an essential part of the University's mission to extend the research and scholarship of UC Berkeley to a global community. SSALLEX is a vibrant and dynamic organization that enables more than 60,000 visiting, UC and potential Cal students; parents, faculty, academic units, international business partners, and central campus service providers engage in campus activities. The department provides more than 2,000 summer courses, fall freshmen programs, study abroad experiences, global internships, and year-around programs or courses, lectures, special events and interest circles for older adults.

Responsibilities

  • Provides guidance and direction to Student Services Advisors on the most complex procedural and operational issues.
  • Leads coordination between the Office of the Registrar (on campus and at UNEX) for visiting student records. Troubleshoots and resolves complex student records, student billing, immigration visas and enrollment issues.
  • Coordinates fee assessments and payment processes with appropriate teams/offices (Billings and Payment Services on campus, Finance/Registrar at UNEX).
  • Provides feedback and coordinates process implementation for new programs.
  • Facilitates the communication to the international partners with complex issues or implementation of new processes/policies.
  • Provides supervision and guidance to Student Services Advisors on visa compliance and SEVIS regulations for international visiting students.
  • Oversees the payment process from the international partners and advises Student Services Advisors of exception and special arrangements and sponsored pay.
  • Reviews the information and policies on publications (catalogs, websites, newsletters, etc.) and collaborates with the Marketing team for updates and changes.
  • Leads discussions among on-campus and off-campus partners in improving Student Services processes.
  • Collaborates with the IT team in improving all relevant systems, online applications, portals, University-wide systems, web-based forms and procedures.
  • Oversee service contract with students and partners and implement changes to improve quality of service.
  • Creates and maintains knowledge bases and standard format of student correspondence to ensure consistent services and communication to students and partners.
  • Oversees student experience activities and coordinates assignments across the team.
  • Monitors employee performance and provides direction and assistance. Counsels and evaluates employee performance. Recommends corrective action, hiring, and separation of employees when appropriate.
  • Recommends employees for promotion when warranted.
  • Provides training to direct report Staff.
  • Provides training to Student Services staff, as well as other internal and external staff in a collaborative effort to improve Student Services.
  • Creates and maintains documentation including standard operating procedures, training manuals and reference guides for Student Services staff.
  • As needed, may provide the full range of student services advice to management, faculty, and students.
  • Recommends to department management changes to student services policies and procedures. Leads coordination and implementation of Student Services policies and policy changes.
  • Maintains the department's student services events/activities budget and department purchases
Required Qualifications

  • Knowledge of advising and counseling techniques.
  • Knowledge of common University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Skills in monitoring / assessing people, processes or services, to make improvements.
  • Skills in project management, social perceptiveness to be aware of others' reactions and understanding why they react as they do.
  • Ability in problem identification and reasoning.
  • Ability to develop original ideas to solve problems using persuasion and leadership.
  • Can work occasional evenings and weekends
  • Bachelor's degree in related area and / or equivalent experience / training
